Role Overview: As the Office Lead / Front Desk Receptionist, you will balance leadership responsibilities with direct patient interaction. You will be the driving force behind ensuring our office operations run smoothly and that our patients receive exceptional service. Additionally, you will act as a liaison between patients and doctors to ensure effective communication and optimal patient care.
Key Responsibilities:
Leadership Duties:
- Ensure all staff members are hitting their individual and collective goals, providing guidance and support as needed.
- Foster a positive and productive office environment, cultivating a strong office culture.
- Organize staff schedules, approve timesheets, and manage vacation requests efficiently.
- Support staff development to ensure continuous growth.
- Oversee daily office metrics and reporting and manage projects.
- Handle and resolve customer service escalations promptly and effectively.
- Manage office billing and payments, ensuring accurate accounts payable/receivable.
- Maintain regular communication with the General Manager and Field Trainer
Front Desk / Patient Interaction:
- Greet patients enthusiastically, ensuring they have an unforgettable visit.
- Organize schedules and direct staff and doctors on appointment processes.
- Act as a liaison between patients and doctors, facilitating clear communication and efficient care.
- Step in as a chiropractic assistant as needed to support patient care.
- Cultivate personal relationships with patients, providing premier service.
- Manage in-person and phone interactions with customers.
- Handle supplies ordering, paperwork, filing, and office organization.
Qualifications:
- Minimum of 2 years in customer-facing roles with a proven track record of excellence.
- Exceptional organizational and multitasking abilities.
- Proven experience in leading a team and managing office operations.
- Ability to thrive in fast-paced environments and handle high-pressure situations.
- Excellent verbal and written communication skills, with the ability to read non-verbal cues and social dynamics.
- Known for taking initiative and proactively addressing needs and gaps in operations.
