Job Overview:
As the initial point of contact for patients and visitors, the Patient Scheduling Coordinator plays a pivotal role in ensuring the efficiency and effectiveness of the dental practice's administrative processes. By managing patient appointments, handling insurance and billing tasks, maintaining patient records, and providing exceptional customer service, this role contributes to the overall success and reputation of the practice.
Essential Responsibilities:
1. Patient Reception and Communication:
- Greet patients and visitors warmly as they arrive at the office.
- Answer phone calls, schedule appointments, and manage the appointment calendar efficiently.
- Provide information to patients regarding office policies, procedures, and services offered.
2. Appointment Scheduling and Coordination:
- Schedule patient appointments using dental software systems (e.g., Open dental) while considering the availability of dentists and treatment rooms.
- Coordinate appointments to optimize patient flow and minimize wait times.
- Remind patients of upcoming appointments via phone calls, emails, or text messages.
3. Insurance Verification and Billing:
- Verify accuracy of patients' insurance coverage and benefits prior to their appointments and update insurance information in Open Dental as needed.
- Assist patients in understanding their insurance plans, coverage limits, and copayments.
- Collect copayments and outstanding balances from patients.
4. Patient Records Management:
- Maintain electronic patient records in compliance with HIPAA regulations.
- Ensure accuracy and completeness of patient information, including personal details, medical history, and insurance details.
- Update patient records as necessary and ensure that all documents are filed into Open dental.
5. Financial Transactions and Reporting:
- Process payments from patients, issue receipts, and perform end of the day daily collections reports
- Following up on outstanding balances as needed.
- Assist patients with financial arrangements as needed: process care credit, setup payment plans.
6. Office Administration:
- Manage the office's inventory of supplies and place orders for replenishments.
- Coordinate with dental assistants and hygienists to ensure smooth patient flow and timely completion of treatments.
- Assist with general administrative tasks, such as scanning, e-filing, and organizing documents.
7. Customer Service and Patient Satisfaction:
- Provide exceptional customer service to patients, addressing their inquiries, concerns, and requests promptly and professionally.
- Ability to create and present simple treatment plans
- Foster a welcoming and friendly atmosphere in the front office area.
- Gather patient feedback to identify areas for improvement and enhance the overall patient experience.
- Monitor and maintain patient areas: lobby, kids room, patient restroom for cleanliness and replenish and organize supplies throughout the day.
- Perform end of the day personal workplace cleanup and organization.
- Report and request repairs as soon as possible.
Education and Work Experience:
- High School Diploma.
- Accurate typing at 40 words per minute.
- One-year minimum office experience.
- Preferred two years experience.
- Recent dental experience is a plus
- Excellent verbal skills

Pay: $19.00 - $25.00 per hour
