Job Summary:
The Warehouser/Driver performs warehousing and transportation functions daily to support the ongoing operation of the agency. Warehouse activities include receiving, stocking, and distributing supplies in a safe, timely, and accurate manner. Transportation includes transporting children and families to and from school as a substitute driver and/or for planned field trips. In addition, the Warehouser/Driver completes planned activities in support of vehicle maintenance repairs for issued vehicles and for the agency travel fleet. The Warehouser Driver completes a variety of tasks assigned through the Work Request System including special pick up and/or delivery of supplies to conference locations, movement of items from administration to 3rd party storage, or replenishment of copy paper supplies, janitorial supplies, or items for the staff lounge. The Warehouser Driver must be able to work independently in a fast paced, deadline driven, customer focused environment and demonstrate a high level of accuracy, attention to detail, and be flexible to changing situations.
Minimum Requirements:

High school diploma OR GED

One to three (1-3) years’ experience providing customer service and/or office administrative setting.

Must be 18 years old.

Submit a current AZ Department of Public Safety Level One Fingerprint Clearance Card prior to start date.

Read, write, and speak English.

Must have possessed a valid driver’s license within the US for the previous 3 years.
-
Must complete the “agency paid” Federal Motor Carrier Safety Administration training to obtain a Commercial Driver’s License within 30 days of hire.

Must obtain “agency paid” Class C Commercial Driver’s License with school bus and passenger endorsement within 45 days of hire. The Agency will allow a maximum of three attempts to successfully pass the required written and skills tests. NOTE: There will be additional training and support from the agency as needed.

Must be able to travel to and from various sites as needed.

Must be able to travel outside assigned area in company-owned vehicle. This travel could begin before daylight hours and continue after sundown in some situations.

Job Specific Duties and Responsibilities:
Physical Resources Responsibilities:
Warehousing and Distribution Responsibilities:
- Implement day-to-day warehouse and distribution systems in a timely manner and with a high level of accuracy.
- Receive supplies from vendors and implement the agency’s receipt of goods system to ensure items upload into the procurement database. Submit associated paperwork to Fiscal for processing.
- Move received supplies to stocking areas and shelves according to warehouse organization.
- Pull supplies, materials, and equipment from supply shelves according to approved pick ticket and box and label for distribution.
- Load and unload supplies, materials, and equipment for delivery to staff within administration or at remote locations.
- Use assigned vehicles to distribute supplies, materials, and equipment to and from centers. Ensure accurate, effective, and efficient delivery route. Adjust route as necessary to avoid hazards and to maintain delivery schedule. Report any adjustments to the delivery route to the Lead Warehouser and to site supervisors as necessary.
- Maintain warehouse in clean, organized, and safe manner. Label storage areas for quick identification of supplies, materials, and equipment.
- Assist center staff and drivers in loading and unloading supplies when necessary.
Child Transportation:
- Review, understand and implement transportation procedures including pre and post trip inspections, signing/sign-out procedures, final walk through of bus after all children have exited the bus.
- Transport children and/or parents to and from the center and other Head Start related activities in a safe manner following the planned routes. Maintain consistent arrival and departure times on bus runs.
- Maintain, update, and submit changes on bus route paperwork and forward to Physical Resources Manager per schedule.
- Support bus monitor in supervision of children and maintaining safety and order on the bus; report safety concerns to bus monitor and supervisor.
- Collaborate with bus monitor to ensure delivery of children to authorized person(s).
- Perform daily vehicle safety inspections; maintain vehicle in a clean and safe condition (return any papers, sweaters, etc. left at the end of daily routes to center staff).
- Complete required pre-service and in-service Transportation training and adhere to written guidelines and procedures for safe and defensive driving. Complete annual vehicle training.
- Maintain CDL, bus and passenger endorsements by maintaining a clean driving record, participating in random drug screenings, and completing required physicals.
Vehicle Maintenance:
- Notify Lead Warehouser about maintenance service needs, contact WR system to report service needs at preplanned intervals and for any breakdowns or unplanned repairs.
- Follow Fleet Fueling procedures and processes for assigned vehicle. Enter accurate information into “pay at the pump” systems and maintain accurate vehicle mileage log per required intervals.
- Safeguard assigned Driver Identification Number (DIN) and secure fleet fueling cards when not in use to prevent unauthorized use.
- Drive safely and use defensive driving techniques to avoid accidents.
- Complete annual vehicle training.
- Take vehicles to and from car wash, repair shops, or locations identified in the Transportation systems.
Work Request Responsibilities:
- Understand and follow the Work Request System for repair and or maintenance needs for workspace, assigned vehicles, or for areas that you observe may require repair or maintenance. Guide others in how to use or implement the system.
- Call in or close out work requests on behalf of others as necessary.
- Complete assigned Work Requests according to priority system and with a high level of customer service.
Supervision:
- Identify self-growth, development goals, and strategies for achievement with support and input from supervisor.
- Commit and participate in consistent and planned meetings with supervisor to further professional growth by seeking feedback, reflecting on and assessing own practice, and taking advantage of opportunities to improve skills and knowledge.
Records, Monitoring, and Reporting:
- Create, monitor, and analyze reports related to custodial services, warehousing and distribution, and vehicles related to assignments, service and repair needs, inspections, costs, evaluations, and completion of training. Identify and evaluate non-compliance areas or potential risks and take appropriate actions to control the risks. Communicate findings to supervisor with recommendations for changes to enhance systems as appropriate.
- Prepare, process, and submit various documents related to supply receipt and distribution. Ensure required signatures and dates are complete and accurate. Maintain paper and electronic files for easy reference as necessary.
- Participate in physical inventory as required. Document accurate and complete information and notify the Procurement Manager of any variances between physical inventory and the Procurement system inventory.
- Monitor the supplies on hand and collaborate with supervisor and the Procurement Manager to maintain an efficient amount of each supply item to support timely delivery of essential supplies and materials.
- Notify the Lead Warehouser about inefficiencies or ineffective warehousing and transportation systems and recommend strategies for improvement.
Leadership, Management, and Teamwork:
- Actively participate on the physical resources team and contribute to the overall planning and success of the team.
- Participate on the Administrative Services Unit team and work toward the achievement of agency goals and objectives through innovative and effective systems.
- Identify emerging trends or issues that influence agency goals and objectives related to physical resources and communicate to Lead Warehouser in a timely and effective manner.
- Promote collaboration and teamwork among physical resources staff and other units using agency values and principles to achieve and sustain a positive work environment and overall high level of job satisfaction.
