Position: Office Manager
Location: Rancho Cucamonga, CA
The DeSHAZO Services Office Manager is responsible for overseeing the process of our invoicing and the service job flow process. This position supports branch service personnel for all AP & AR processing, secretarial, clerical, and data entry requirements. This position reports to the Regional Manager.
The position schedule is Monday – Friday, travel may be required from time to time (case by case basis).
Payrate based on experience $90-$105K
RESPONSIBILITIES:
- Data entry of job data on a daily basis to include opening jobs, payroll, accounts payable, job cost data, etc. for the region.
- Invoicing customers, maintaining cash flow, and compiling and distributing invoice packets to customers. Includes job cost analysis to ensure cost accuracy.
- Monitors the Open Orders report to invoice completed jobs and keep the list current and clean.
- Responsible for assisting corporate finance on the accounts receivables status from customers and accounts payable status from vendors.
- Assist in customer service and employee assistance where required. Help coordinate smooth communications.
- Assist the corporate finance team with project work or cost control analysis as needed. Includes check-in calls several times per month.
- Includes daily review of time sheets and service tickets.
- Oversee and manage pulling completed inspection reports and providing them to the salesmen.
- Weekly review of the Aging Reports to keep AR current.
- Management of office support staff as required.
In addition to the above responsibilities, and until the Southern California branches adds more offices with a minimum of 2-3 techs for different locations, the following responsibilities apply:
- Assist manager w/ customers calls, etc.
- Assist manager in daily scheduling of technician’s w/ customers.
- Assist manager with Updating DeSHAZO online scheduling program (Ganttic) daily.
- Request and return rentals to purchasing/ordering.
- Assist manager with the coordination of ordering parts for jobs and backup for purchasing as required.
QUALIFICATIONS:
- Candidates must have 3 -5 years’ experience in the overhead crane industry – Accounting, service management, service coordination, ordering and receiving parts, purchasing, and invoicing.
