About the Area Property Manager Role
We’re looking for a talented area property manager who will be responsible for the overall operations of a portfolio of mid and small sized properties totaling about 300 units. The bulk of the portfolio ranges in size from 10 to 40 units, with everything in between. The larger properties have resident managers and the mid-sized properties have key holders, and you would be responsible for managing this awesome group of on-site property managers, ensuring efficient operations, vendor contracts and maintenance issues, lease administration, monthly reporting and delivering a positive experience for the residents, associates and property owners in conjunction with the property leadership team.
Area Property Manager Responsibilities and Objectives
· Oversee the operations of a property portfolio including resident satisfaction and retention, full resident lifecycle activities (e.g., lease administration, rental collection and delinquency management), property P&L, and property marketing in accordance with company standards.
· Responsible for ensuring a high level of client customer/client satisfaction. Host weekly and monthly client update meetings with clear and detailed agendas, updated for each meeting.
· Create strategic marketing plans to attract and retain residents in conjunction with client goals. Perform market surveys to make rental rate and marketing recommendations.
· Draft / prepare leases for new move-ins (super easy via our software).
· Coordinate repairs, maintenance, remodel, upgrade or replacement work as needed at the property to ensure it is in excellent condition, including vacant unit upgrades. Seek approval or strategic guidance from ownership regarding repairs and upgrades.
· Obtain estimates, quotes and/or purchase orders to complete major work. Make recommendations to the property owner(s) regarding the scope of work and cost based on your judgment and experience with that property, the proposed work required, and the proposed vendor or contractor.
· Responding to and taking care of emergencies at the property if the onsite manager is unavailable or the issue warrants the area manager’s involvement, and, upon receiving the property owner(s)’ consent, resolving said emergencies.
· Managing sub-contractors and vendors who perform any number of services, including maintenance, cleaning, landscaping, security guard services, and/or janitorial services, etc. at each property, ensuring they are performing their work at a certain standard, selecting new sub-contractors or vendors if they are not, that they are invoicing the owners regularly and being paid for their services, and resolving any disputes with subcontractors or vendors, as necessary.
· Preparing tenant rent increases and other notices as required each month.
· Responsible for reviewing monthly financial reports and reporting trends to the clients, annual budgeting, and variance reporting.
· Regularly visit and inspect the property to ensure the highest level of curb appeal, office and maintenance operations, and competitive market positioning.
· Respond to escalated resident complaints and issues and direct our Resident Communications Manager (RCM) based on your strategies in resolving and de-escalating resident issues. The RCM is primarily responsible for communicating with residents (Not the Area Manager) unless it needs to be escalated.
· Manage significant property issues like insurance claims and significant resident disputes.
· Other responsibilities as assigned by management.
Education and Experience
· High School diploma or equivalent is required. Bachelor’s degree is preferred.
· 3 - 5 years of property management experience managing multiple 20 – 50 units size properties is required.
· Prior experience in Appfolio or another equivalent property management system is ideal but not required (it’s easy to learn).
· Real estate license is preferred but not required.
· Understanding of Section 8 or other low income assistance programs is preferred but not required.
· Knowledge of financial statements like P&L’s, GL’s, budgeting, etc. is required.
Skills and Requirements
· Strong communication skills are essential and required. We’re looking for someone who can host regular meetings with a client, discuss the property’s strengths, weaknesses & opportunities, and develop a game plan with the client. Then have clear and efficient emails back and forth with the client to update them on progress.
· Organizational skills are a must- we love organization, whether its calendar items, priority lists, task lists, etc. You must bring your own organizational mindset to keep you on task. We use Basecamp as our project management and communication software (like Slack, but better).
· High degree of initiative and problem-solving ability.
· Intermediate level knowledge with Microsoft Office Suite including Outlook, Word, and Excel, PDF, Zoom/Teams, etc.
· Ability to write clear and efficient business emails.
· Strong interpersonal skills to effectively and sensitively communicate with all levels of management.
· Ability to work independently and prioritize effectively in a fast-paced environment.
· Ability to cope and defuse situations involving angry or difficult people.

· Must have your own smart phone. Laptop computer will be provided.
· Valid CA Driver's License, insurance, and reliable form of transportation.
· You must have an unflappable attitude and the ability to de-escalate situations!

· Pay range is $70,000 - $90,000.

Scheduling
· Required to maintain a regular schedule which may require working some overtime (only for emergencies), weekends and non-traditional holidays.
· Required to come into the office 2 days / week and, work from home the other days, and property visits throughout the week as needed. Must have a reliable vehicle to drive to properties under your supervision. Gas mileage will be reimbursed per federal guidelines.
