Job Overview:
We are seeking a detail-oriented and organized Office Assistant/Accounts Payable/Payroll Clerk to join our team. The person will be responsible for processing invoices, reconciling accounts, and ensuring timely payments to vendors. They will also be responsible for inputting time sheet, processing payroll, submitting certified payroll and processing union due payments monthly. They will also be required to answer phones and give support to the Accounts Receivable and Estimating Departments. This role requires flexibility, strong attention to detail, the ability to work in a fast-paced, juggling multiple tasks in an ever changing environment.
Responsibilities:
- Process invoices and purchase orders
- Review invoices for accuracy and completeness
- Enter invoices into the accounting system cost coded accurately and in a timely manner
- Reconcile vendor statements and resolve any discrepancies
- Prepare and process check runs
- Maintain accurate records of all accounts payable transactions
- Respond to vendor inquiries regarding payment status
- Assist with month-end closing activities as needed
- Weekly processing of payroll, payroll taxes and certified payroll reports
- Monthly processing of union dues
- Fill out bid documents and do bid runs
- Good faith outreach efforts for bids
- Assist AR clerk in creating and tracking change orders, subcontractor change orders, AIA billings, unit price billings and AR invoices
- Processing of mechanical liens and releases
- Familiarity with the construction industry
Qualifications:
- High school diploma or equivalent required
- 2+ years of experience in the construction industry
- 2+ years of experience in accounts payable or general accounting role
- Proficient in computerized accounting systems - Foundation Accounting Software a plus
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Excellent attention to detail and accuracy in data entry and record keeping
- Strong proofreading skills to ensure accuracy of financial documents
- Familiarity with phone systems and professional phone etiquette
- Computer literacy, including proficiency in Microsoft Office Suite

Job Type: Full-time
Pay: $28.00 - $32.00 per hour
Expected hours: 40 per week
