The AP / Accounting Specialist will be responsible for:
Monitor the Accounts Payable inbox to properly follow-up on incoming invoice related questions and/or issues for quick resolution
Responsible for coding and entering company invoices into Accounting Software
Match and reconcile the supplier invoices to Purchase Order numbers
Create new vendors with required compliance documentation & request W9 forms
Prepare annual IRS 1099 forms for review
Develop and maintain positive relationships with service partners and provide solutions regarding
service partner payment inquiries
Reconcile vendor statements and research and correct any identified discrepancies
Prioritize and review invoices against the AR list for payment
Prepare weekly wire transfer & ACH batches
Process supplier payments via company’s credit card
Submit remittance information to suppliers
Notify media planner of any supplier invoices that has bookings’ discrepancies
Open & sort all incoming mails
Assist with year end audit
Assist with billing & collections
Performs other duties as required to support Accounting Department
Qualifications/Requirements:
Minimum of 3+ years accounting experience with a focus on AP
Must be comfortable working under tight deadlines and fast paced corporate environment
Strong computer skills, especially Excel (v-look ups/pivot table)
Working experience in the Media Industry preferred
Experience with MediaOcean Accounting software would be a plus
Some knowledge of the billing cycle would be a plus
A degree in accounting/finance or qualify by experience
