Overview
The Front Desk / Agency Support Associate is a multi-faceted role responsible for day-to-day office tasks. The primary role is focused on Agency reception which includes oversight of office machinery, mail room, supply monitoring and ordering. Additionally, the role carries responsibility to support our Marketing Director and Business Manager. This position reports to the individual(s) as described in the Offer Letter and is classified as a non- exempt level employee.
Responsibilities:
Reception
- Greet and announce Agency visitors in a friendly, welcoming manner;
- Answer incoming and forwarding phone calls;
- Maintain reception area, break room, and conference rooms for organization and cleanliness;
Administration
- Notify Property Management of maintenance requests;
- Receive and distribute incoming mail including US mail, UPS, FedEx, etc.;
- Open, time stamp and comply with all incoming/outgoing mail and correspondence according to Compliance and Supervisory Guidelines;
- Prepare Agency outgoing mail and overnight packages daily;
- Prepare and send Brokerage and Any District/ Detached Mail as appropriate;
- Order, track and maintain supplies;
- Maintain ordering system for company stationary;
- Process Basic Customer Service Requests;
- Coordinate and Schedule Training Meetings as Assigned;
- Coordinate the Ordering and Payment of Agency Luncheons;
- Perform Other Agency Duties as Assigned.
- Marketing skills preferrable

Initiative – The extent to which employee generates ideas and initiates action to seek information to solve problems or follow through with a task; a self-starter;

Job Type: Full-time
Pay: $30,000.00 - $40,000.00 per year
