Charlotte Montessori is currently looking to fill a vacancy as the Front Desk Receptionist. This staff member is critical to the daily runnings of our school, accepting and welcoming families, deliveries and supporting a team of administrators with a variety of clerical, school operations and event-planning tasks. We are looking for an individual who is comfortable reporting to multiple staff members, acting as a team-player, and who is friendly, organized, positive, and who is able to hit the ground running. This is a 32.5 hour position that may work well for someone seeking part-time work. The position is benefit eligible.
Requirements for Consideration:
- Friendly and customer service orientated approach to assisting community members and visitors alike.
- Ability to be part of our “closing team”, staying until 5:15/30 daily is a requirement.
- Proficiency in Microsoft Word and Outlook as well as a general adeptness/willingness to learn other digital platforms and databases.
- Interest and/or experience in marketing, event organizing, and general clerical tasks.
- Ability to multitask, stay organized, prioritize and complete assignments in a timely fashion
- Excellent organization skills for maintaining filing systems and record keeping that require attention to detail.
- Willingness to complete NCDHHS criminal background check clearance and medical clearance
Salary: $15-22/hour
Schedule: Monday-Friday, 10:30-5:30 (30 minute break)/32.5 hours per week
Support all Admissions related tasks to include but not limited to:
- Answering initial inquiries
- Processing applications, supporting all admissions-related paperwork
- Maintain current student records and accompanying paperwork per state guidelines
- Supporting calendar for Admissions Director
Support all Event related tasks to include but not limited to:
- Creating & printing all programs or other printed materials
- Ordering all supplies
- Keeping inventory/track of items for set up (tables/chairs/other) for event use and supporting with set-up/clean up efforts
- Collaborating with parent volunteers
Support all Non-Montessori Programming to include but not limited to:
- Extended Day (4:00-5:30): supporting teachers in programming needs (orders/copies/etc), assisting in maintaining adequate ratios, greeting parents at pick up, securing campus & closing school with extended day team.
- Maintaining coverage at the front desk for end-of-day parent questions and/or assisting in the classroom as necessary.
- Partners in Education (PIE) Programming: collecting necessary vendor paperwork (background checks, liability insurance, etc…), maintaining vendor files, support in walking classes to PIE classes as necessary on campus.
- Providing classroom coverage support when needed.
General Support to include but not limited to:
- Maintaining busy front office space for families, teachers, students and staff
- Receiving and supporting all deliveries and routing as necessary
- Answering all incoming calls/rerouting calls as appropriate
- Responding to all general email inquiries and forwarding messages to admin as appropriate.
- Supporting teachers with licensing requirements, photocopying and other clerical tasks
- Contacting outsiders for facility repairs/service calls/handyman/routine maintenance and/or work-order processes
- Managing/maintaining all office supply, art supplies, weekly snack supplies and any re-orders
- Creating quarterly community newsletter
- Creating/Coordinating seasonal bulletin boards
- Data entry for student enrollment new and returning
- Maintaining all student files inclusive of alumni files and data for 7 years post enrollment
- Supporting all efforts to remain in compliance with state regulation: licensing and sanitation
Job Types: Full-time, Part-time
Pay: $15.00 - $22.00 per hour
Expected hours: 32.5 per week
