Position Summary:
*Shifts will be Fulltime Monday through Friday 9:00am-6:00pm
1. Provide exceptional customer service to all current and prospective residents, guests, visitors, and vendors.
2. Answers incoming phone calls and directs callers to appropriate people or department.
3. Provide the first point of contact for all residents and visitors of the property.
4. Maintain a positive image of the facilities with the residents and the community at large.
5. Support the operational policies of Fine Associates and the individual properties it manages.
Requirements
- High School Diploma
- Previous experience in a concierge/ front desk role.
- Ability to organize and manage multiple tasks
- Must be flexible, self motivated, goal oriented and have excellent communication skills
- Must speak and write English fluently.
- Basic proficiency in Microsoft Office Applications.
- Must have the ability to lift 50 pounds, bend, stoop, or sit for extended periods, climb stairs.
Duties to be performed on a regular basis
- Answer multiple phone lines on the second ring using a professional greeting “Thank you for calling property name this is your name, how may I assist you”. See Phone Script below
- “Buzz” residents and guests into the building. Every person entering the building should be greeted with a simple “Hello”, “Hello how are you”, or similar friendly yet professional greeting. Greet anyone walking past the front desk (exiting or going to the mail room etc.) with the same professional greeting.
- Be aware of the leasing schedule and greet leasing appointments by name with a professional greeting.
- Keep the reception area clean, neat, and orderly at all times. As the first point of contact for all visitors it is imperative that the front desk area always be clean. Packages should be stored in the proper area, trash should be removed regularly, and the desk should be free of clutter, the floor should be kept vacuumed.
- Assist residents with any request and accommodate them accordingly.
- Packages – The concierge is responsible for resident packages. Packages received should be logged in the package log and stored in the designated area. “Package keys” should be placed in the resident mail boxes. When packages are given to residents the concierge must have the resident sign the package log to indicate they have received the package
- Work Orders – The concierge will enter work orders as requested by residents into the computer, print a paper copy and place it in the designated location for maintenance personnel. If Maintenance personnel are not on site, the concierge will determine as instructed if the maintenance item is an emergency. If so, the concierge will notify the on-call maintenance person.
- Freight elevator – The concierge will schedule freight elevator time for residents and delivery companies.
- Party room reservations – The concierge will maintain the party room schedule and make reservations for events.
- Guest suites – The concierge will book reservations for the guest suites, and check guests into and out of the suites.
- Storage lockers – The Concierge will maintain a log book for the storage area key and be responsible for checking the key in and out.
- Vehicle log – The Concierge will maintain a log of all visitor cars parked in the guest parking area.
- Monitor the security cameras and entrances to the building. Contact proper authorities when needed and report suspicious activities to the Property Manager.
- Administrative duties including but not limited to the processing of work orders, distribution of mailings, invoices, and notices to residents.
- Maintain confidentiality of business policies and procedures, and resident and prospect information.
