About the role:
The ideal candidate is motivated, enthusiastic, and exhibits excellent phone demeanor, strong sales skills, and a background in the Med Spa industry, Dermatology, Plastic Surgery, or Wellness and IV Therapy. Our ideal candidate loves helping people feel and look their best.
As an Aesthetic Med Spa Sales Coordinator, you will train your team on how to EDUCATE patients about their VIO Med Spa experience, share EXCITEMENT in our Membership plan, and contribute to the overall sales success of the team.
RESPONSIBILITIES FOR THIS ROLE INCLUDE:
- Generate leads and revenue through inbound and outbound calls, website-based leads, and other sources, ensuring each client feels valued.
- Driving sales of memberships and skin care products through knowledge and customer service.
- Leverage tech-savvy skills to contribute to marketing efforts and sales CRM programs.
- Ensure expectations for Lead to Prospect (L2P) and Prospect to Member (P2M) conversion are met
- Manage day-to-day opening and closing procedures.
- Answer, screen and direct telephone calls, emails, text messages, messages, direct messages on social media platforms effectively.
- Make daily outbound calls daily to confirm appointments and follow up on leads (no cold calling required)
- Provide great patient care by handling appointment reminder outbound calls.
- Create and maintain patient profiles in POS and CRM System, ensuring information is entered accurately and helpful for future patient review.
- Enhance the customer experience by identifying sales and patient care needs and utilizing consultative sales techniques to provide the assistance necessary.
- Maintain service knowledge to accurately assist patients in their patient journey by providing consultations either on phone or in person.
- Schedule, confirm, and check out appointments, and perform other administrative tasks.
- Ensure patients re-book prior to leaving
- Maintaining a professional reception area, light cleaning, and restocking
- Meet quantitative metrics and performance standards as defined by management.
- Register customers, verify, and update data, assist customers in completing forms and document all the information received.
- Payroll and inventory management
- Special events planning and marketing
What you’ll have:
- Must have great phone management skills and ability to educate staff on selling.
- Foster strong relationships with staff & clients
- Must have knowledge of any of the following: Salon & Med Spa Industry, Wellness and Hydration industry.
- Engaging conversational skills with an enthusiastic personality.
- Highly adaptable to change and ability to problem solve quickly.
- Exceptional written and verbal communication skills
- Receptive to mentoring and coaching.
- Prior spa and retail sales experience.
- The ability to laugh and have fun!
- Basic computer skills including various web based and software applications.
- A commitment to making sure we provide EXCELLENT patient care and customer service.
- Must be available to work some weekends and evening hours.
- Able to maneuver through the software program quickly and effectively.
- Resolve customer complaints and provide solutions which correlate with company policy.
- Experience with Sales/Marketing CRM systems. (L2P/P2M)

- $50,000-$65,000 – scaled up on performance.
