Job Title: Receptionist
Department: Human Resources

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
· This position is responsible to answer the front switchboard and visitor/guest management. Answers multi-line switchboard and directs telephone traffic to the appropriate person, takes messages and communicates those messages, as appropriate.
· Provides exceptional front-line customer service and coordinates the flow of visitor/guests through the reception area. (Employees, vendors, clients, job candidates and other customers.)
· Serves as sentry for facility secured doors. (8)
· Demonstrates problem solving ability by using good judgment and applying these skills to assist visitors/guests and employees and ensure customer service expectations are met.
· Deals with all inquiries in a professional and courteous manner.
- Greets visitors, logs their arrival and departure time, and contacts their host. Dispenses visitor badges.
- Receives sorts and distributes incoming mail, processes outgoing mail. Inventories postage stamps.
- Maintains FedEx reports (and incoming packing slips) in order to proof all FedEx invoices for accounts payable
- Inventories, orders and maintains office supply stock, responds to requests for special order items, and ensures employees properly requisition and sign for items.
- Maintains a safe and tidy reception area. Is in charge of BSF’s “first impression”.
· Separates/distributes invoices in-house and mails others.
- Proficient with Microsoft Windows, Word, Excel, and Outlook.
- Working knowledge of office equipment such as copiers, scanners, and faxes.
· May maintain sections of the intranet and SharePoint.
WORKING HOURS:
A typical work week consists of 40-45 hours. A typical work shift consists of a schedule from 8:00 am to 5:00 pm. OT may be required.
MINIMUM QUALIFICATIONS:
A high school diploma or its equivalent; and two (2) to five (5) years’ experience with a switchboard or multi-line telephone system. Associate’s degree is preferred. A self-starter who is flexible and can work without getting flustered in a fast paced and interactive environment. Strong communication skills in both written and verbal form. Can “smile” through the phone. Has strong organizational skills, the ability to set priorities, handle deadlines, manage conflicting demands, and requires minimal direction and supervision. Possesses the personal characteristics of professionalism, credibility, commitment to high standards innovation, discriminating judgment and accountability. Strong self-management skills. Must be able to perform all duties and responsibilities independently or as part of a team. Be an active listener and patiently wait to speak until others have finished, and to know how to ask appropriate questions when necessary is a key quality. Ability to relay information accurately to others is important. Ability to balance multiple priorities and to work under pressure while providing consistent and professional service. Ability to maintain complete confidentiality, possess a professional demeanor, and exercise discretion at all times is a must.
REPORTING RELATIONSHIPS:
This position reports directly to the Human Resources Director.
