Position Summary
The Administrative Assistant performs a variety of administrative tasks including providing support to our managers and employees. Assisting in daily office needs and running errands as needed. This is an onsite position and is not eligible for remote work.
Essential Job Functions
- Answer and direct phone calls and email requests.
- Schedule tours and programs.
- Database management Donorperfect software: Set up donor files, Maintain accurate data on existing donor file, Send thank letters and general communication to donors.
- Assists with facility operations.
- Assists with website management.
- Assists in compiling monthly reports: Volunteer hours and data, Animal care/surrenders/adoptions, Education programs and outreach.
- Planning/organizing prioritizes and plans work activities, uses time efficiently.
- Demonstrates accuracy and thoroughness and monitors own work to ensure quality.
- Confidentiality and discretion with sensitive and private employee, donor and legal documents and information.
- Performs other related duties as required and assigned.
- Submit and reconcile expense reports.
- Develop and maintain filing system.
- Working knowledge of office equipment.
- Ability to work in an environment with mammals and reptiles.
Qualifications, Skills, Experience & Educational Requirements
- High School degree, some college or university education preferred.
- Three years of current office administration experience.
- Previous database management experience preferred.
- Proficiency in MS Office (MS Excel, Word, PowerPoint)
- Attention to detail and problem-solving skills.
- Excellent verbal and written communications skills.
- Strong communication skills via email, phone and face-to-face.
- Proficiency in data analysis.
- Strong organizational and time management skills with the ability to multi-task.

Job Type: Full-time
Pay: $15.50 - $17.00 per hour
Expected hours: 35 – 40 per week
