Position Brief:
Westland is the owner and operator of Multi-Family Residential, Retail Properties, and Manufactured Home Communities. The portfolio includes 14,000 units across all divisions. With over forty years experience, the family-owned company has a solid history of successfully identifying growth opportunities and efficiently operating properties.
The Human Resources Assistant, plays a crucial role in supporting various HR functions and initiatives. The HR Coordinator will be responsible for assisting with recruitment, onboarding, employee relations, and HR administration tasks. This position requires excellent communication skills, attention to detail, and the ability to maintain confidentiality.
Essential Basic Requirements:
Experience:
- Position prefers 2-4 years experience as an Administrative Assistant, preferable in Human Resources
- Proficiency in MS Word, MS Excel Google Suite, and MS Outlook
- Knowledge of Paycor or other HRIS preferred.
- Knowledge of operating standard office equipment
- Excellent communication skills – written and verbal
- Experience planning, organizing and prioritizing
- Ability to prioritize projects and strong problem solving skills
- Good research skills and attention to detail
- Bilingual in English and Spanish (speak, read, write and translate)
Education:
- High School Diploma or equivalent required
- Associate degree preferred
Personal Competencies:
- Ability to perform general office work
- Ability to use computer and related software programs to accomplish assigned tasks
- Knowledge of policies and procedures
- Skill in typing and accuracy in data entry
- Ability to maintain complex records and to assemble and organize data
- Have excellent communication skills - written and verbal.
- Customer service oriented with the ability to work both independently and in teams.
Job Duties and Responsibilities:
- Assist with day to day operations of the HR functions and duties.
- Answering applicant and/or employee questions; Serving as an initial point of contact for HR office walk-in visitors
- Distributing documents and tracking signed acknowledgments
- Organizing resumes and job applications
- Ensuring background and reference checks are completed as needed
- Order supplies as needed
- Scanning documents and organizing on Google drive and Paycor
- Assist in the full hiring process of employees, including recruitment, interviews, verifying work-history and references, and tracking of new possible candidates in HRIS
- Assist recruiting in finding qualified candidates for open positions, pre-screening and scheduling interviews as needed
- Help with new-hire procedures, including organizing employee orientation, creating new employee files, administering employee handbooks, and ensuring all necessary paperwork is properly filled out and submitted to appropriate persons
- Organize, maintain and update employee HRIS information as needed including position and department code changes
- Assist employees with inquiries regarding benefit plans, including health care, retirement, etc.
- Make sure all health and safety regulations are followed
- Present any new or additional training materials to employees
- Make sure all employee records are filed correctly and kept confidential
- Abide by company-enforced HR processes and current employment laws and regulations
- HR Helpdesk support, be a vital source of human resources information, answering any questions employees may have or assign tickets to HR team
- Properly handle complaints or grievances by instructing employees to follow the communication ladder.
- Additional tasks and projects as assigned
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
