Customer Service Representatives serve as the primary point of contact for customers, providing assistance with product inquiries, order processing, and records management. The ideal candidate is empathetic, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. This role is crucial in maintaining the company’s reputation for outstanding customer service and ensuring customer satisfaction while maintain compliance with laws and regulations.
Key Responsibilities:
- Respond to customer inquiries via phone and email in a timely and professional manner.
- Ensure all policies and procedures are implemented and followed for compliance
- Accurately input and review patient files to ensure documentation of sales, payments, service requests, and delivery/shipment information is correct
- Maintain comprehensive and accurate records of customer interactions and transactions.
- Maintain patient files in accordance with laws and regulations to ensure compliance
- Schedule service repairs with customers
- Collaborate with other departments to resolve customer issues and improve service delivery.
- Follow up with customers to ensure their issues are resolved and they are satisfied with the service.
- Contribute to the development and implementation of customer service policies and procedures.
- Handle customer complaints with empathy, aiming for resolution and satisfaction.
- Support sales and marketing initiatives by providing feedback and insights based on customer interactions.
Qualifications:
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
- Proven experience in a customer service role, preferably within the medical equipment or healthcare industry.
- Ability to maintain patient records, understand reimbursement requirements and basic accounting functions
- Knowledge of insurance reimbursement guidelines and eligibility for coverage
- Strong attention to detail and organizational skills.
- Ability to work both independently and as part of a team.
