Position Summary:
We are looking for a highly organized, friendly, and detail-oriented Administrative Assistant/Receptionist to support our office and team. The ideal candidate will be the face of our company, greeting all customers and personnel with a smile. You will be responsible for ensuring the office runs smoothly and efficiently. Your duties will include overseeing day-to-day organizational tasks, supporting our team’s success, answering phones, greeting office visitors, and performing general administrative support and recordkeeping.
We are conveniently located in Oakland, FL, 23 minutes from Orlando
Position Responsibilities:
§ Answer and transfer phone calls, screening when necessary.
§ Act as the point of contact for internal and external customers.
§ Welcome and pleasantly direct visitors and clients.
§ Respond to and resolve administrative inquiries, questions and/or emails in a timely manner.
§ Coordinate and schedule travel, meetings, and appointments for managers, supervisors and travelers.
§ Maintain office supplies and coordinate maintenance of the office or equipment.
§ Collate and distribute mail.
§ Scan documents. Create and maintain filing systems, including electronic folders.
§ Utilize spreadsheets, Microsoft Office programs, and ERP software.
§ Accurately enter data with minimal errors.
§ Handle requests and support CEO and senior managers.
§ Write and distribute email, correspondence memos, letters, faxes, and forms, in addition to maintain and update contact lists.
§ Assist employees with expense report matters.
§ Assist HR manager with company events, employment screening, scheduling interviews, and other tasks as required.
§ Run errands, as needed, such as picking up the mail, purchasing supplies, picking up and delivering food for meetings, etc.
§ Keep sensitive information confidential.
§ Provide a great level of attention to detail and focus on the given task.
§ Perform work for accounts payable and accounts receivable as needed.
§ Follow all company rules, policies, and quality standards.
§ Complete work priorities as assigned by supervisor.
§ Perform other such duties as may be required.
Skills and Qualifications:
§ High school diploma or general education degree (GED).
§ 1-3 years of administrative or receptionist experience or an equivalent combination of education, training, and experience.
§ Ability to prioritize a variety of tasks and responsibilities.
§ Demonstrate basic skills in Outlook, Teams, Microsoft Word, and Excel. (Intermediate proficiency is preferred.)
§ Ability to interpret, understand, follow, and communicate instructions.
§ Ability to perform basic mathematical calculations quickly and accurately.
§ Ability to type and accurately enter data.
§ Strong problem solving and critical thinking skills.
§ Excellent time management skills and the ability to prioritize work.
§ Ability to work independently with little to no supervision, and complete tasks in a timely manner.
§ Well organized, analytical, and detail oriented.
§ Ability to communicate verbally and in writing.
§ Ability to adapt and perform in a fast-paced work environment.
§ Work well with others and work as a team.
§ Display and maintain enthusiasm, initiative, and pride in work.
§ Maintain a clean, organized, and safe working environment.
