Description:
The Event Technology Specialist will manage the event software platform, Cvent, for the Meetings & Events department. The enterprise-wide software is pivotal to the success of AD’s Meetings & Events. The Event Technology Specialist will work closely with planners, Marketing, IT, divisional marketing leads and leadership to implement, maintain, and troubleshoot the system to meet the organization's evolving needs. This role is highly collaborative and a valuable resource to the team. The ideal candidate is a Cvent guru who is passionate about all aspects of the platform, technology, and events.
Primary Responsibilities:

Lead the setup, configuration, administration, and maintenance of Cvent software platform for the Meetings & Events department.

Collaborate with event leads and stakeholders to understand event requirements and tailor Cvent solutions accordingly.

Lead the design and customization of event registration websites, email communications, attendee app and attendee surveys within the Cvent system, creating templates for repeatable events.

Develop and implement event workflows, including registration, attendee management, and reporting.

Collaborate with stakeholders to implement system improvements that enhance efficiency and reduce redundancy.

Develop event reporting standards for the Meetings & Events Department and Divisional Leadership that analyze registration metrics, attendance patterns, overall engagement and recommendations for event improvements.

Analyze, summarize and distribute agreed upon reports on a timely and regular basis.

Travel to Spring Network Meetings, North American Meetings and Summits to oversee the implementation of the On Arrival registration check-in process.

Lead the development and implementation of procedures for configuration, maintenance and improvement of Cvent.

Collaborate with corporate marketing and IT to ensure Cvent is successfully integrated with other enterprise applications. Troubleshoot integration issues and identify opportunities for process automation.

Manage system upgrades and new releases, conducting thorough testing to ensure the stability and functionality of the system before implementation.

Address system-related issues promptly, diagnosing problems, and providing timely resolutions. Escalate complex issues to the appropriate teams or vendors as necessary.

Foster strong relationships with various stakeholders, including Divisional Leadership, planners, Marketing, department heads, end users, and IT teams, to ensure a collaborative approach to Cvent system management.

Provide leadership, guidance, and instruction to less experienced staff.

Responsible for QC process adherence, compliance with company and site safety policies.

Provide a design concept for websites incorporating company branding, meeting & event theme, and key messaging.

Stay up to date with emerging technologies and industry trends related to the software.

Maintain relationships with Cvent account manager and representatives.

Lead and train the Network Experience Coordinator on survey and reporting best practices.

In partnership with the VP, Meetings & Events, develops the reporting dashboard to track network attendance.

Qualifications:
-
Bachelor’s degree in computer science, information technology, business administration, or a related field and 4 years relevant experience required.

Extensive Cvent software experience and certification required.
-
Certifications in Event Management, Hospitality, Event Marketing, or related subjects are highly desirable.

Strong technical knowledge of enterprise hardware, software, networking, and security systems is preferred.

Knowledge of HTML and experience with coding.

Additional Comments:

Position is based in Wayne, PA where we have a hybrid work schedule with 3 days in the office (Tuesdays-Thursdays & Mondays and Fridays remote)

Business Hours: 8:00 a.m. – 5:00 p.m.

Travel: approximately 30% with occasional evening and weekend hours
