Administrative Assistant
Objective: Administrative Assistant duties and responsibilities include providing administrative support to ensure the efficient operation of the office. Supports Paralegals and Attorneys through a variety of tasks related to office organization, deadlines, and client communications. Candidate requirements include professionalism, confidentiality, excellent customer/client service skills, time management, and excellent verbal and written communications.
Requirements:
· Office experience required.
· Customer Service experience required.
· Law Firm Experience preferred.
· NC Notary or eligible to be NC Notary preferred.
Skills
· Proficiency with MS Office Word, Excel, Outlook, and general online research skills.
· Must be able to efficiently draft professional letters, emails, and client correspondence.
· Must be able to efficiently coordinate meetings, and client appointments.
· Excellent time management, organizational abilities, analytical skills, attention to detail, and strong proofreading skills are required.
· Knowledge of office management systems and procedures.
· Strong work ethic with the ability to work under pressure while managing and meeting deadlines.
· Consistently deliver outstanding client service and exceptional quality work.
· Ability to work independently as well as part of a team.
Responsibilities
· Quickly master case and document management software to open, organize, and maintain client files.
· Driven, positive, and able to work in a team environment consistently & effectively, as well as able to work independently to manage projects, assignments, and matters.
· Maintain a high level of focus each day to prioritize tasks and case deadlines.
· Professionalism and ability to work under pressure and meet attorney, court, and client deadlines.
· Willingness to accept additional tasks and responsibilities to meet client and firm needs.
· Assist Paralegals and Attorneys in preparing court filings, transfer documents, and other legal documents.
· Prepare, assemble, and organize legal documents and correspondence for client meetings to ensure the clients’ needs are met in a timely and professional manner.
· Attend client meetings to take notes, witness, and organize documents during the signing process, organize documents after client meetings.
· Serve as liaison between client, paralegal, attorney, court officials, and other organizations.
· Maintain client files and confidentiality.
· Answer, return, and manage phones calls, emails, and any other attorney, paralegal, and office correspondence.
· Copy, scan, print, and file documents to ensure proper record keeping.
· Assist with all other duties as assigned by supervisor.
