Position summary: The Commercial Installation Production Assistant will assist in project managing group jobs in the Commercial division. The Commercial Installation Production Assistant will complete tasks including invoicing, project closeout, file management, provide purchase order for techs and project managers in the field and in the office of CCAC.
Position responsibilities:
- Coordinate with Field and Project Managers to schedule/reschedule techs to any or all capital improvement projects or T&M projects as requested.
- Reviewing, maintaining/correcting/updating data and organizing files within SharePoint/C-projects folders, quotes folders, production meeting minutes and all sub files within SharePoint.
- Create work order for scheduling and sales order for future invoicing of CI projects.
- Researching/tracking open POs, receiving/correcting POs, maintaining documents on PO docs tab, Invoice matching and reviewing AP Vouchers of corresponding POs for accuracy.
- Regular communication with Commercial Install technicians ex: future scheduling, documents for inspections, transmittal or submittal data.
- Completing Applications for all necessary Trade Permits on CCAC CI projects
- Compile/organize/bind approved submittals for CI projects and project to project managers and lead technicians
- Other duties as assigned by supervisor.

- At least three years of administrative experience required – Experience in construction or skilled trades preferred.
- Intermediate computer skills including Microsoft Office.

§ Work conditions: While performing the position responsibilities for this job, the employee’s workstation is located indoors with a minimal level of noise.
Hours of operation are 8am-5pm, Monday-Friday. Overtime may be requested by the supervisor.
