As we expand our operations, we are seeking a dedicated and bilingual (Spanish-English) Office Manager to join our team.
Job Summary:
The Office Manager will play a crucial role in the smooth operation of our property management office. This position requires an individual who is organized, detail-oriented, and possesses excellent communication skills in both English and Spanish. The Office Manager will be responsible for overseeing daily administrative tasks, coordinating office activities, and providing support to the property management team.
Key Responsibilities:
- Administrative Support: Manage office operations including answering phones, responding to emails, and handling correspondence.
- Tenant Relations: Serve as a point of contact for tenants, addressing inquiries and resolving issues promptly and professionally.
- Office Coordination: Schedule and coordinate meetings, appointments, and travel arrangements for the property management team.
- Document Management: Maintain and organize office files, records, and property documentation.
- Bilingual Communication: Translate documents and communications between English and Spanish as needed.
- Financial Tasks: Assist with budgeting, invoicing, and expense reporting. Monitor and manage office supplies inventory.
- Property Management Support: Assist property managers with tenant communications, lease agreements, and property inspections.
- Customer Service: Provide exceptional customer service to clients, tenants, and vendors.
Qualifications:
- Language Skills: Fluent in both Spanish and English (written and spoken).
- Education: High school diploma or equivalent; additional education or certifications in office management or property management is a plus.
- Experience: Minimum of 4 years of office management experience, preferably in property management or a related field.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with property management software is a plus.
- Interpersonal Skills: Strong communication and interpersonal skills. Ability to work independently and as part of a team.
- Organizational Skills: Excellent organizational and multitasking abilities. Attention to detail is essential.
- Problem-Solving: Capable of handling and resolving unexpected issues with professionalism and efficiency.
