Mission of the Role (What you’ll be doing):
In this pivotal role, you will provide comprehensive administrative support to the Senior Vice Presidents of Sales and Marketing and Food Packaging. Additionally, you will handle various general office tasks to ensure the smooth operation of our corporate office. This is a full-time, permanent position based on-site in Newtown Square.
Key Duties & Accountabilities (Primary responsibilities & quantifiable measurement):
- Provide administrative support to the SVP, Sales and Marketing and SVP, Food Packaging which includes:
- Calendar Management
- Expense Report Management
- Travel Coordination (Domestic and International)
- Update organizational charts
- Draft Correspondence and Internal/External Memos
- Prepare sales presentations and reports as needed.
- Create and maintain email distribution lists for Commercial Sales Team.
- Coordinate and prepare on-site / off-site sales meeting (estimate 4-8 per year) including, but not limited to:
- Research meeting locations.
- Draft agenda and meeting materials.
- Send calendar invites and communicate meeting information to attendees.
- Reserve and prepare conference rooms.
- Order and Manage Annual Sales Awards
- Assist with CRM Updates
- Handle tradeshow / vendor meeting / special event registrations.
- Business card orders for sales team.
- Coordinate A/P Invoices
- Corporate Office Support
- Manage office supplies for the corporate office.
- Distribute mail at the corporate office.
- Create USPS / UPS labels for the sales team shipments.
- Check the general sales voicemail box every other day.
- General support for office events – lunches, holiday parties, birthday celebrations.
- Work cross-functionally with other administrative support on projects as needed.
- Interface with all levels of the organization
Qualifications (What you’ll need to be successful):
- Previous administrative support experience required (4-6 years) or a similar role.
- High school diploma or equivalent.
- Ability to travel < 5%.
- Proficient in Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook with the ability to embrace and learn new software.
- Detailed-oriented, clear communication, organized, and able to manage multiple tasks.
- Conscientiously handle sensitive and confidential information.
- CRM experience is a plus.
