The financial/administrative assistant is primarily responsible for servicing the health insurance and benefits business of Tonka Financial Services. As an assistant, they will ensure the organization of Tonka’s agents and financial advisors by coordinating and planning ZOOM and off-site visits so that they run smoothly. In this role, you are responsible for organizing and developing relationships with current clients, meeting new clients, following up and servicing clients, and maintaining all office updates in various applications and client information. You will also be working closely with Tonka's agents and financial advisors, providing them with the necessary support and coordination.
Main Areas of Responsibilities:
· Organize Offsite Visits for group meetings and ZOOM meetings. This includes but is not limited to ordering food, preparing the PPT presentation, sticking to a schedule, etc.
Answer phones and emails for incoming intake of new prospective clients. Setting appointments for client types.
· Assist Agents as needed.
· Be the point of contact for Tonka's Financial, MNsure, and Healthcare Group clients, which includes responding promptly to customer queries and complaints to find solutions and defuse tension.
· Handle group and individual renewals and paperwork as required.
· Monitor clients in Smart Office, AdviceWorks and EASE account activity for any additions, changes, etc.
· Manage all details of clients, prospects, and vendors in CRM, and Populate and maintain accurate client data in client relationship management database and files.
· Assume other duties as required and assigned

· Answering questions, solving problems
· Following up with clients regularly, with new information or to follow up on any issues
· Keeping Client Information Up to Date by Record Keeping through data entry, electronic systems, appropriate filing, data entry, submission to vendors, updating processing systems, and developing them where needed
Internal Coordination with the team, working closely with all members of the team,
· Keeping all team members informed of status coordination necessary (Make CRM notes)
· Attending and participating in weekly meetings,
· Recommending and suggesting improvements as needed,
· Supporting others as needed.
Qualifications, Skills and Abilities:
Minimum Qualifications
· Excellent interpersonal, verbal, and written communication skills.
· Knowledge of administrative systems and procedures, such as word processing, managing files and records, designing forms, creating quotes, and submitting information to vendors.
· Proficient with Windows-based software, including MS Word, Excel, PowerPoint and FAX.
Preferred Qualifications
· Basic Knowledge of group health insurance and or Financial Services is required; 3-5 years minimum knowledge is preferable.
· Strong customer service skills
· Demonstrated ability to work effectively in a team environment.
· Proven, successful problem-solving skills. Problem Solving/Troubleshooting: Most work done independently but must coordinate with any other member of the team that might be affected.
· Strong organizational skills with the ability to prioritize activities to achieve results.
