OVERVIEW
The Payroll Specialist is responsible for hiring and terminating employees, keeping employee’s files up to date and for processing payrolls for multiple states. They will reconcile and submit weekly and monthly union reporting as required. They will be responsible for preparing and paying all withholding and unemployment taxes. Other functions of the Payroll Specialist include processing unemployment claims and wage garnishments.
QUALIFICATIONS
- 3 – 5 years’ experience in an Payroll related role
- Excellent written, verbal and interpersonal communication skills
- Keen attention to detail with excellent mathematical skills
- Maintain an orderly work environment with an ability to manage and meet deadlines
- Experienced with Microsoft Office, Adobe Suite, and ERP systems
- Ability to handle data with a high-level of confidentiality
RESPONSIBILITIES
Payroll Tax:
- Reconcile and prepare withholding payroll tax returns and payments
- Prepare and file quarterly withholding, federal and unemployment tax returns
- Assist Payroll Manager by researching tax notices received from taxing authorities
- Ensure compliance with federal, state and local taxing authorities
Payroll:
- Upload payroll for weekly processing- review for errors, coordinate with branch to fix errors, prepare checks or direct deposit and bank file upload
- Process payrolls for 18 branch locations weekly, including layoffs, adjustments and missed time
- Reconcile and prepare monthly and weekly union report remittances
- Enter all new hire set ups in Spectrum, update terminations and furloughs accordingly
- Process weekly 401k withholdings
- Report monthly payroll info for CCIP & OCIP jobs
WORK ENVIRONMENT
This job mainly operates in an office setting using standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
OTHER DUTIES
Other tasks required to assist the Payroll Department and Payroll Manager.
