The Role of the Administrative Assistant
The Administrative Assistant is to serve the school and fellow employees by advancing the mission of the school in all areas and aspects of daily school operation.
Positional Responsibilities
1. Spiritual Responsibilities
- Be a practicing Christian in prayer, Bible study, regular worship and faith-life
- Agree with and affirm the ministry of Calvary and The Lutheran Church -Missouri Synod
- Embrace, embody and promote the values of Calvary Lutheran High School
- Exemplify the Christian faith and life, serving as a role model both in and out of school to students and as an example to parents, fellow faculty and staff and to the community-at-large in judgment, respect and Christian living.
- As much as possible, communicate Christian principles and integrate them into all verbal and written correspondence on behalf of Calvary Lutheran High School
2. Professional Responsibilities
Admissions Assistant:
- Completing the monthly tasks of the Admissions Department, including but not limited to:
** Scheduling & organizing efforts and events (visit days, shadow days, other new ideas) that engage prospective families (grades 5-8), promoting Calvary at all feeder schools and community opportunities
**Making personal contacts with prospective families (phone calls, emails, face-to-face conversations, etc.) to educate, invite and inform about Calvary programs
**Scheduling prospective families to tour the school with the Executive Director
- Collaborate monthly with the Executive Director with metrics around number of prospective students.
- Utilizing a system to track contact “touches” with prospective families.
Development Assistant:
- Maintaining & updating a database of donors, verifying and updating regularly
- Developing and assisting in the execution of events and programs that nurture new and current contacts to support the mission of Calvary
- Calling donors to set up appointments for Executive Director
- Writing & addressing thank you letters to donors
- Developing, maintaining & updating a database of alumni and alumni parents.
- Coordinating invitations and programs to engage alumni in an ongoing relationship with Calvary
Marketing:
- Expanding the mouth of the "sales funnel" - generating more leads for admission and development
- Designing & producing marketing materials for the admissions, development, alumni and the general public
- Using, revising, and following a calendared model of marketing & outreach including social media use to target specific audiences
- Regularly auditing Calvary’s website to identify outdated materials and providing new content to the Webmaster to update the website

4. Software/App Requirements
Adept at using or willing to learn if inexperienced
- Google Ecosystem esp. calendar management
- Canva
- Facebook & Instagram
- School Management Software (FACTS or similar)
- Wordpress
- Microsoft Office Suite (Word, Excel, Powerpoint, Publisher)
- Preferred, but not required: Adobe Creative Suite (InDesign, Photoshop, etc.)
Accountability
The Outreach Coordinator is accountable to the Executive Director.
Staff Relationships
This position will collaborate with other Calvary administrators & personnel (Faculty and Staff) to strategize and help implement an effective growth plan for Calvary Lutheran High School.

Education/Experience Required: none; Bachelor’s Degree or 5 years’ experience preferred
Starting Salary: Competitive for area, education, experience level
Job Type: Part-time
Pay: From $18.00 per hour
Expected hours: 20 per week
Schedule:
- Monday to Friday
- Nights as needed
- Weekends as needed
Experience:
- Customer service: 1 year (Preferred)
