To ensure staff payroll, health benefits, and accounts payables are processed accurately and efficiently.
REPORTS TO
Chief School Business Official (CSBO)
ESSENTIAL FUNCTIONS
· Demonstrate support for the mission, beliefs, and goals of the Lindop School District 92.
· Uphold the established Board of Education policies, regulations, and administrative procedures.
· Interpret and enforce district policies and administrative regulations.
· Assist a variety of stakeholders to ensure the effective operation of the Business Department
JOB RESPONSIBILITIES
PAYROLL
· Process all aspects of the district payroll-personnel system, including but not limited to, payroll, vacation and leave usage, overtime/extra duty pay, retirement premiums and reports, all required payroll reports, wage garnishments, tax reports, and year-end payroll, and W-2 reports.
· Provides information necessary for unemployment claims and appeals.
· Compile payroll data, such as hours worked, taxes, insurance, and union dues to be withheld, from time sheets and other records.
· Process stipends for extra-curricular activity sponsors, and coaches.
· Audit and process timesheet data for each semi-monthly payroll including those for hourly employees reporting over-time, student workers, cafeteria supervisors, adult education workers, and extra duty teaching.
· Process deductions for insurance premiums, credit union contributions, tax-sheltered annuity contributions, pre-tax flexible spending accounts, professional dues, charitable donations, and wage attachments.
· Proofread payroll checks for accuracy each payroll cycle.
· Monitor attendance activity for accurate recording on payroll check stub.
· Direct deposit net earnings to savings and checking accounts.
· Organize, mail, and distribute payroll checks.
· Record and monitor teaching hours and salary for substitute and retired teachers for Teachers’ Retirement System (TRS) pension compliance.
· Organize and distribute annual W-2, Wage and Tax Statements.
· Proofread fiscal year salary report for accuracy prior to publication.
· Interface with Proviso Township regarding payroll system irregularities.
BENEFITS
· Directs employee insurance program (medical, dental, vision, and life insurances) for the purpose of ensuring open enrollment, billing, and COBRA conversions are processed in a timely and accurate manner.
· Directs workers’ compensation program for the purpose of ensuring all work-related injuries are properly reported, employees receive the necessary salary information, medical treatment, and are returned to full work duties as quickly as possible.
· Holds responsibility for insurance and risk management. Works with insurance broker during the review and selection process for the insurance program. Determines coverage to be provided, files insurance claims and reports, directs insurance procurement procedures, maintain insurance policies & claim records.
ACCOUNTS PAYABLES
- Strong data entry skills for expense reports
- Proficient in Microsoft Excel
- Knowledge of accounting principles and Accounts Payable processes
- Familiarity with purchase order processes
- Ability to work independently and take initiative
· Strong data entry skills, knowledge of accounting principles
· Maintain high standards of confidentiality, attendance, and flexibility while working cooperatively with Building Principals and other employees.
· Support/assist school staff on questions related to the business office.
· Any other responsibilities as assigned by CSBO or Superintendent.
JOB REQUIREMENTS
· At least three years’ experience in Payroll/Benefits, and Accounts Payables is preferred.
· Management/Accounting or a combination of education and experience
· Experience with Tyler Connect (iVisions) preferred
· Must be proficient in utilizing computer applications, preferably the MS Office Suite
· Must maintain thorough payroll records
· Must be able to meet deadlines
· Must be able to maintain confidentiality in all matters
· Must be detail-oriented and have excellent communication skills, both orally and in writing.
· Must have an aptitude for mathematics.
· Project management skills are a must, as is the ability to work independently and in a group setting.
· Must possess and demonstrate the ability to establish and maintain cooperative working relationships with those connected in the course of work
TERM OF EMPLOYMENT
Twelve months
Salary determined by the Board of Education
EVALUATION
Performance of this job will be evaluated by the CSBO in accordance with established procedures for the evaluation of Central Office Staff.
