GENERAL DESCRIPTION / PRIMARY PURPOSE:
This position completes all clerical duties for the Dole Fresh Fruit Human
Resources department. Further, the role provides general administrative support to the office
and to the President
MAJOR RESPONSIBILITIES AND TASKS/DUTIES OF THE POSITION:
Assist the President's office with administrative duties and special projects, which include but are not limited to scheduling appointments, processing expense reports, making travel and hotel arrangements, and coordinating meetings both in and outside the Charlotte Office.
Coordinate the onboarding process for new hires, which includes but is not limited to generating offer letters, conducting reference checks, performing background checks, and verifying I9 through the RedCarpet SilkRoad portal.
Process employee Changes of Status (COS), such as terminations, pay changes, job title changes, etc., and enter the data into the company's HRIS system to ensure employee data is kept up to date.
Maintain the electronic filing system by creating electronic folders on the company's shared drive and updating the division's organizational charts.
Maintain attendance and employment records via the Workforce System to ensure employees
time to work and leave time from work is accurately track. Train employees new and existing
employees on effectively using the Workforce System.
Coordinate the department monthly birthdays, Anniversaries, and other engagement activities
to foster employee’s retention. Further, support the Marketing and Communications team on
the monthly newsletter.
Update and maintain personnel database and ensure all employment requirements comply
with State and Federal Regulations.
Responsible for the ordering of all office supplies, and at times, lunches for meetings as well
as, oversee the wellbeing and maintenance of the office canteen.
Coordinate new hire gifts announcements as well as working with corporate on
communication for Milestone anniversaries.
Data entry of department invoices via the BPMS Systems to ensure timely vendors payment.
Coordinate DFF Spanish Class Program and administrative support to maintain the Dole
Community Training Platform records.
Work with the Latin America team on career map code and the North America HRIS team on
job code to ensure the NA HRIS Portal is updated.
Assist in all other clerical duties and participate in special projects as needed by the DFF
department.

Required Experience
EDUCATION & CERTIFICATION:
- Associate degree and some college preferred
- 2-4 years of general office support experience
