Legal Secretary Needed for Fast-Paced Plaintiff's Law Firm

Our growing firm in the Garden Oaks/Oak Forest area of Houston prepares every case for trial. We handle serious injury cases, including car accidents, workplace accidents, product liability, and truck accidents.
Who are we looking for?
The hired legal secretary will be a primary point of contact with clients who are injured and with opposing law firms. Empathy with clients, integrity, precision, conscientiousness, and compassion. High attention to detail and a willingness to improve are required. We are looking for a reliable, passionate, and self-motivated team player, who will thrive in a fast-paced environment.
Prior experience in personal injury is preferred, but not required.
What will the job require?
The legal secretary will be the key scheduler for attorneys of the firm and will work with our existing team of associate attorneys, paralegals, and other secretaries. The legal secretary will be responsible for managing the schedules of attorneys in the firm, including the scheduling of depositions, mediations, and calendaring of deadlines. They will also be responsible for following up with unresponsive lawyers and clients, who may need repeated follow-ups before a response is received. Strong organizational skills and a high attention to detail are critical and essential.
The legal secretary will be responsible for scheduling mediations and depositions with clients and opposing counsel, scheduling calls and meetings with clients, doctors, and experts, calendaring court and litigation deadlines, drafting and sending correspondence to lawyers and insurance companies on behalf of the team lawyers, e-filing pleadings, mailing and/or emailing packets of discovery to clients in litigation, supervising other staff members, communicating with office of opposing counsel, scheduling client meetings, and communicating with court staff regarding hearings and deadlines.
Must be a team player and able to provide guidance to other staff and able to communicate directly and authoritatively with lawyers inside and outside the firm.
Primary duties and necessary skills also include:
- Managing calendar of busy trial attorneys
- Scheduling calls, mediations, hearings and depositions
- Written and telephone communications with clients, lawyers, court staff, expert witnesses, doctor's offices, among others
- Assist in preparation of correspondence and legal filings
- Answer calls and take detailed messages on case management system when attorneys are unavailable
- Filing and service of court documents
- Very strong organization and attention to detail

- Excellent oral communication skills over the telephone
- Excellent computer skills (Word, Excel, Outlook, Microsoft 365)
- Ability to learn and master new case management system (Filevine)

Pay: $24.00 - $30.00 per hour
Expected hours: No less than 40 per week
