Reporting to the Manager of Event Production and Operations, the Coordinator of Event Production and Operations assists in the responsibility of coordination and support of all event production and daily operations related to events in the McCormick Tribune Campus Center ( MTCC ), Herman Hall Conference Center (HH), and other facilities on the Mies campus. This position primarily works between the hours of 2:00 PM – 10:30 PM, Monday through Friday. Some weekends and mornings will be required on occasion, as needed for events and student support, including student training.
COMMUNICATIONS
Communicate with customers via face to face contact, phone, and electronic written communication. This position will require communication and contact with both internal and external constituents as a position that oversees the audio visual and technology production of 3,000+ annual events.
CUSTOMER SERVICE
This position is customer service heavy in its interaction with students, departments, and external clients. Key relationships include Catering Services, Office of Technology Services, Facilities Maintenance Management, Office of Campus Life, and Public Safety.

Qualifications
Education & Experience
Bachelor’s degree preferred. Two years experience in a student union, hospitality industry or event services preferred.
Knowledge & Skills
Knowledge of facilities management, technology, and audio and visual equipment used for events. Ability to motivate and work closely with students. Experience with and willingness to work with an ethnically diverse and culturally pluralistic university population. Strong organization, oral and written communication skills. Proficient with technological applications, website development, and the ability to develop technical skills as needed. Experience in staff training and development. Knowledge of and commitment to the principles of student development.
SUPERVISION & BUDGET AUTHORITY
Assists in the process to hire, train, schedule, supervise, and evaluate approximately 30 student production staff. Manage student labor spending of approximately $300,000 annually. Make recommendations for purchase of AV and event equipment, as well as technology and building upgrades to event spaces.
Physical Environment and Requirements
Up to 80% of the time may be spent walking between buildings and between rooms in buildings to check on, set up, or run technology and a/v for events. This position will require the lifting and moving of event furniture and equipment up to 50 lbs, on occasion. It will also require the training of others to do this work.
Certifications and Licenses

Knowledge of a software for creating drawings like Room Viewer, AutoCad and event management software such as Event Management Systems ( EMS ) preferred.

Coordinator of Event Production and Operations assists in managing the planning and production team of Event Services as an event producer. Serves as a floor supervisor for events. Assists the Manager of Event Productions and Operations with departmental technology and A/V for Event Services. Works with staff, internal and external customers as necessary, to ensure appropriate events production and execution. Works closely with departmental staff members to ensure that the setups are executed correctly and in a timely manner, all technology and audiovisual needs are addressed, and that event production staff is well informed of setups and event details. Participate in client walkthrough meetings with clients as needed to coordinate required technology and event production pieces such as equipment and personnel, and special requirements.

Policies and Procedures: Enforces Event Services and University policies, especially as they pertain to event production, technology, audio visual equipment, and the facilities. Assists with the development and implementation of new policies and procedures. Serves as a member of the Event Services professional staff and assists with various office programs and projects, including assisting in all aspects of event services. Attends staff meetings and contributes to the overall “team player” environment of Event Services.

Inventory Management: Performs monthly and periodic spot inventory checks of all equipment owned by Event Services and assures inventory counts are updated according to Event Services standards. Makes recommendations for equipment that needs to be purchased to enhance and/or replace current equipment to the Manager of Event Production and Operations.
