We are seeking a motivated, qualified individual to join our company as a Scheduling Coordinator who will manage the schedules for our team of 1099 and contract employees. This position will be responsible for coordinating the deployment and scheduling of personnel to project sites, ensuring that the right skills are available at the right time. This role requires excellent communication skills, the ability to handle high-pressure situations, and a deep understanding of logistics and personnel management. All work will be performed in accordance with Company policies and procedures.
This is a 1099 contract position working on a multi-year project.
Responsibilities & Duties
- Manage the schedules of 1099 and contract employees, ensuring optimal coverage for disaster response efforts
- Serve as the primary point of contact for 1099 and contract employees, providing them with necessary information and updates regarding their assignments
- Coordinate the deployment of personnel to disaster sites, including travel arrangements, accommodations, and on-site logistics
- Ensure all scheduling complies with relevant labor laws and company policies, including ensuring proper documentation and certifications for personnel
- Maintain an accurate and up-to-date database of employee availability, skills, certifications, and deployment history
- Work closely with other departments, including Operations, HR, and Finance, to ensure seamless coordination of disaster response efforts
- Partner and follow up with internal departments and team members to ensure timely and accurate fulfillment of assigned tasks or requests
- Quickly address and resolve any scheduling conflicts, last-minute changes, or logistical challenges
- Generate regular reports on scheduling, deployment efficiency, and personnel utilization to inform strategic planning and decision-making
- Additional duties and assigned special projects as delegated by manager
Requirements
- High School Diploma or general education degree (GED)
- Bachelor’s degree in Business Administration, Human Resources, Logistics, or a related field preferred
- Minimum of three (3) years of experience in scheduling, logistics, or personnel management, preferably in disaster response or a related industry
- Microsoft Office proficiency: Word, PowerPoint, Outlook, and Excel
