As a Client Onboarding Specialist, you will play a crucial role in ensuring that our clients have a seamless onboarding experience and a positive relationship with our firm. Duties and Responsibilities
Client Intake and Documentation
- Conduct initial client intake interviews to gather necessary information for onboarding process
- Review and verify client documentation, including but not limited to tax returns, financial statements, bank statements, and other relevant documentation
- Ensure all client information is accurately recorded in our internal systems
- Communicate with clients to clarify any missing or incomplete information
Onboarding Process Management
- Develop and implement a standardized onboarding process for new clients
- Coordinate with various departments within the firm to ensure a smooth transition for new clients
- Schedule and facilitate client meetings to discuss onboarding progress and address any concerns or questions
- Track and monitor the progress of each client's onboarding process and provide regular updates to the Management and Leadership Team
Relationship Building and Client Support
- Serve as the primary point of contact for new clients during the onboarding process
- Build and maintain strong relationships with clients by providing exceptional customer service and addressing their needs promptly and effectively
- Respond to client inquiries and provide support on various administrative and technical matters
- Collaborate with cross-functional teams to resolve any issues or challenges that arise during the onboarding process
Compliance and Risk Management
- Ensure compliance with regulatory requirements and internal policies throughout the client onboarding process
- Conduct due diligence on new clients to identify and mitigate any potential risks
- Stay up-to-date with industry regulations and best practices related to client onboarding
- Collaborate with the compliance team to implement any necessary changes or updates to our onboarding procedures
Qualifications
- Previous experience in a client/customer service facing role, preferably in a CPA firm, financial services industry, or Law firm.
- Strong knowledge of tax regulations and accounting principles preferred
- Excellent communication skills, both verbal and written
- Exceptional organizational skills and attention to detail
- Ability to multitask and prioritize tasks effectively
- Proficient in using Microsoft Office and other relevant software applications
- Ability to work independently as well as collaboratively in a team environment
