Position Overview:
We are seeking a highly motivated and organized Entry-Level Administrative Assistant to join our team. This multi-use position will play a crucial role in supporting various department managers. The ideal candidate will be adaptable, detail-oriented, and eager to contribute to the overall efficiency of the company.
Key Responsibilities
Billing & Accounts Payable:
- Assist in the billing process, ensuring accurate information is collected from the field.
- Process accounts payable and manage inbound calls related to accounts payable.
Administrative Support:
- Complete credit applications and open mail for the Controller.
- Order Certificates of Insurance
- Process Tungsten invoices and Expensify receipts.
- Reconcile fuel and propane usage.
Customer and Employee Interaction:
- Handle damage claims related to our crews, providing professional and empathetic responses.
- Facilitate onboarding of new hires, including coordinating orientation video sessions.
- Manage HR issues such as payroll discrepancies and employee reviews.
- Order and manage the distribution of company shirts and PPE.
Data Management:
- Maintain accurate records of timekeeping and manage data entry tasks.
- Prepare weekly dashboards and plant reports.
- Assist with WIP (Work in Progress) reviews.
Facility and Resource Management:
- Oversee facility repairs and manage the maintenance schedule.
Qualifications
- High school diploma or equivalent; associate's degree or higher preferred.
- Strong organizational and time-management skills.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
Preferred Skills
- Experience with billing and accounts payable processes.
- Familiarity with HR procedures and onboarding processes.
- Experience with data entry and administrative support tasks.
