Executive Administrator Support
We are seeking a highly organized and professional Executive Administrative Support professional to join our dynamic team in Washington, DC. The ideal candidate will provide comprehensive administrative assistance for our federal client, ensuring smooth and efficient operations. This role requires the candidate to be in the office at least four days a week, fostering direct communication and collaboration.
Key Responsibilities:
- Manage executive calendars, schedule meetings, deconflict meetings, coordinate travel arrangements as needed.
- Prepare and edit correspondence, reports, and presentations.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
Meeting Coordination:
- Organize and prepare materials for meetings, including agendas, minutes, and follow-up actions.
- Coordinate logistics for in-person and virtual meetings.
- Ensure meeting rooms are prepared and equipped as needed.
- Project Management:
- Assist in the planning and execution of special projects and events.
- Track project timelines and deliverables, ensuring deadlines are met.
- Collaborate with various departments to gather information and support project needs.
Data Management:
- Maintain and update executive files and records, ensuring confidentiality and accuracy.
- Manage databases and generate reports as required.
Support to Executive Team:
- Provide administrative support to other members of the executive team as needed.
Qualifications:
- Bachelor's degree or equivalent experience in a related field.
- Minimum of 8 years of experience in an executive administrative support role, preferably supporting executives.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Proactive and able to anticipate the needs of executives.
- High level of professionalism and attention to detail.
- Ability to work independently and as part of a team.
Working Conditions:
- This position requires the candidate to be in the Washington, DC office at least four days a week.
- Standard office hours with occasional flexibility for overtime as needed.
- Dynamic and fast-paced work environment.
