The Intake Manager for our Personal Injury Law Firm plays a crucial role in managing the initial contact and assessment process with potential clients. This role requires exceptional communication skills, empathy, and a thorough understanding of personal injury law. The Intake Director oversees a team responsible for gathering essential information from clients, assessing the viability of cases, and ensuring a smooth transition for accepted cases into the firm's workflow.
Key Responsibilities:
Team Leadership:
Supervise and mentor a team of intake specialists, ensuring they adhere to best practices and provide exceptional client service.
Conduct regular training sessions to enhance team performance and ensure compliance with legal and ethical standards.
Intake Process Management:
Develop and maintain efficient intake procedures to streamline the client onboarding process.
Coordinate with attorneys and legal staff to assess case viability based on initial client information.
Review intake documentation for accuracy and completeness, ensuring all necessary information is gathered for case evaluation.
Client Communication:
Serve as the primary point of contact for potential clients, addressing their inquiries and concerns with professionalism and empathy.
Communicate effectively with clients to gather relevant details about their cases, including accident details, injuries sustained, and insurance information.
Provide clear explanations of the legal process, potential outcomes, and the firm's services to prospective clients.
Case Evaluation:
Evaluate the merits of potential cases based on intake information, legal principles, and firm criteria.
Collaborate with attorneys to assess the strength of potential claims and determine whether the firm can provide representation.
Make recommendations regarding case acceptance or referral to other resources as appropriate.
Data Management and Reporting:
Maintain accurate records of client interactions, case details, and outcomes using the firm's case management software.
Generate reports on intake metrics, including conversion rates, case acceptance rates, and trends in client inquiries.
Analyze intake data to identify areas for improvement and implement strategies to enhance efficiency and client satisfaction.
Qualifications:
Bachelor's degree in a related field (e.g., Legal Studies, Business Administration) preferred.
Previous experience in a similar role within a personal injury law firm or legal environment highly desirable.
Strong knowledge of personal injury law, legal terminology, and case evaluation principles.
Exceptional interpersonal skills with the ability to communicate effectively with diverse individuals, including clients, attorneys, and staff.
Leadership experience, including the ability to motivate and inspire team members to achieve goals.
Detail-oriented with excellent organizational and time management skills.
Proficiency in case management software and Microsoft Office applications.
Ability to maintain confidentiality and handle sensitive information with discretion.

Skills & Requirements:
