Job Description:
Industry Security Services, Inc. is a leading security solutions provider, dedicated to ensuring the safety and protection of our clients. We are seeking a highly organized and detail-oriented Site Manager/Supervisor for Security Office to join our team and play a crucial role in maintaining the efficiency and productivity of one of our office operations. As a Site Manager/Supervisor, you will be responsible for a diverse set of tasks, including guard scheduling, invoicing, accounts receivable, Excel data management, hiring and onboarding, providing equipment to employees, utilizing guard tracking software for managing breaks/lunches, schedules, and timekeeping, monitoring reports generated by the guard tracking software, and providing supervisory support to the security officers.
Responsibilities:
Customer Liaison:
- Cultivate positive and regular communication with clients, addressing:
- Daily modifications to guard posts.
- Enhancements in security efficiency.
- Achievement of superior customer service ratings.
Guard Scheduling:
- Develop and publish schedules for security guards catering to a 2-shift, 7-day client model, ensuring comprehensive coverage.
- Conduct daily schedule maintenance to guarantee precision and accuracy in scheduling.
- Proactively communicate with guards to affirm/confirm attendance before scheduled shifts, promoting punctuality and reliability.
- Strategically schedule rovers for backup coverage, addressing potential gaps in security personnel availability.
- Leverage the capabilities of the guard software package to efficiently schedule, approve, and update standard weekly schedules, ensuring seamless coordination and adherence to organizational protocols.
Payroll/Invoicing:
- Conduct weekly audits of payroll and invoices to ensure accuracy and compliance with established standards in a timely manner.
- Utilize computer systems to access and verify invoiced services, maintaining meticulous records for financial transparency and accountability.
Accounts Receivable:
- Monitor and manage accounts receivable, including tracking and following up on outstanding payments.
- Work with clients to resolve billing discrepancies and disputes.
Excel Data Management:
- Diligently maintain company spreadsheets to systematically track financial and operational data, ensuring precision and organization.
- Present comprehensive spreadsheets during weekly operations reviews, providing insightful data-driven analyses to facilitate informed decision-making within the organization.
Hiring and Onboarding:
- Initiate and complete recruitment and selection process for new team members, including reviewing applications and conducting initial interviews.
- Assist in the onboarding process, ensuring new hires are familiar with company policies and procedures.
Providing Equipment to Employees:
- Coordinate and track the distribution of necessary equipment to employees.
- Ensure that employees have the tools and resources needed to perform their duties effectively.
Utilize Guard Tracking Software:
- Manage guard tracking software to monitor breaks, lunches, schedules, and timekeeping.
- Monitor and analyze reports generated by the guard tracking software for performance evaluation and compliance.
Generate and Analyze Reports:
- Regularly review and analyze reports from guard tracking software to ensure accurate tracking of employee activities.
- Provide insights and recommendations based on the data gathered.
Supervisory Support to Security Officers:
- Provide guidance and support to security officers, ensuring adherence to company policies and protocols.
- Address performance issues and conduct periodic performance evaluations.
- Facilitate training and retraining sessions for security officers as needed, fostering continuous skill development and compliance with industry best practices.
- Responsively handle and resolve 2nd shift guard support calls, demonstrating a commitment to providing timely and effective solutions.
General Administrative Support:
- Assist with office organization, filing, and data entry.
- Manage office supplies and equipment inventory.
- Handle phone calls, emails, and correspondence.
Qualifications:
- Demonstrated expertise in overseeing security operations within a designated area.
- Sufficient proficiency in Excel for precise modification and updating of operations worksheets.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Attention to detail and accuracy in all tasks.
- Knowledge of invoicing and accounts receivable processes.
- Previous supervisory experience and understanding of security operations.
- Self-motivated with a proactive and problem-solving attitude.
- High school diploma: additional education or relevant certifications are a plus.
