JOB TITLE: Executive Administrator
REPORTS TO: President/CEO
EFFECTIVE DATE: April 2024
SALARY RANGE: $56,000 - $70,000
POSITION PURPOSE
This role supports the President/CEO and Senior Management providing confidential, professional, administrative assistance that includes a wide range of administrative duties to be handled with confidentiality and discretion where required. Interface with all stakeholders in the credit union including other employees, board members, members, visitors, and vendors. Prepare reports, correspondence, manuals, spreadsheets, and all other communications.
DUTIES AND RESPONSIBLILITIES
1. Provides a variety of administrative activities necessary to assist management including research, report preparation, informational requests, and clerical support.
2. Assists in scheduling and maintaining appointments, meetings, business trips, and the calendar of events and schedules for CEO, board members, and other members of the senior management team.
3. Maintains and updates accurate administrative records, policies, procedures, central files, and reports.
4. Creates, compiles, and disseminates board packet materials for board meetings including agendas, minutes, attendance, nominations, and committee reports.
5. Supports CEO and Senior Managers in preparation and reporting for NCUA exams and supervisory audits.
6. Facilitates and supports communications for CEO and Senior Managers and prepares agendas and minutes for meetings, ensuring follow through on pending issues.
7. Supports CEO and Senior Managers in managing projects coordinating timelines, resources, and deliverables to ensure successful completion.
8. Coordinates and manages calendar for contract renewals and supports contract negotiations.
9. Leads vendor risk management process including annual financial and operations due diligence reviews.
10. Supports CEO and Senior Managers in organization and management of ongoing expansion and development projects.
11. Assists management team with employee relations programs, employee communications, employee assistance program, service awards, and social activities.
12. Oversees the creation and maintenance of all confidential and sensitive corporate files to ensure consistency and compliance of all required documents.
13. Utilizes the utmost discretion in handling sensitive and confidential information about executive discussions, decisions, and documents.
14. Recommends new programs and positive changes to existing programs.
15. Performs other duties as assigned and assists with special projects as needed.

· Well organized administrator using time and project management skills to execute multiple priorities and projects with attention to detail to meet target deadlines.
· Ability to communicate effectively and positively with employees across all levels of the credit union using strong interpersonal and leadership skills.
· Ability to work independently with minimal supervision and as part of a team.
· Computer proficiency and experience with Microsoft Office Suite.
QUALIFICATIONS
Education/Experience: bachelor’s degree in business administration, management, or related field preferred. Related administrative experience of 3-5 years in credit unions, banking, finance, legal or professional sectors is preferred.
Communication Skills: Ability to communicate with accuracy, effectiveness, and professionalism in both written and verbal forms.
Organizational Skills: Excellent organizational and time management skills with the ability to prioritize tasks effectively.
Reasoning Ability: Ability to solve practical problems and deal with a variety of issues where some situations will only have limited standardization.
Physical Demands: Typical office environment that includes walking, sitting in front of a computer, etc.
