Position Summary:
Provide a wide range of administrative and executive support-related tasks for the President & CEO using effective communication skills and the ability to multi-task and prioritize.
Description of Duties:
Provide all levels of administrative support including but not limited to:

Prepare correspondence and reports in final format; ensure correct grammar, punctuation and spelling and conformance to policy and style

Process incoming correspondence and tasks, ensuring timely and accurate distribution and follow-up

Maintain files and general office organization
-
Coordinate travel arrangements
-
Serve as primary POC for all questions internally and externally

Make administrative arrangements for visitors and conferences
-
Plan, organize and take and maintain notes for staff meetings and teleconferences
-
Compose letters/memos, maintain files and records, interpret and apply regulations
-
Maintain Executives calendar
-
Receive, screen and route incoming calls

Assist with company morale functions
-
Cover the front desk, as needed
-
Perform other duties as assigned
Knowledge, Skills, and Abilities:
-
Knowledge of administrative and clerical procedures and systems
-
Knowledge of timekeeping systems
-
Skill in Microsoft Office applications (Excel, Word, PowerPoint, Outlook)

Skill in MS project a plus
-
Skill in maintaining confidentiality at all times; handle sensitive matters with absolute discretion

Ability to work effectively and efficiently with minimal supervision
- Ability to work under deadlines and to set priorities between high priority items
- Ability to multi-task in providing a wide range of administrative support functions

Ability to clearly communicate to staff and executive team

Ability to effectively communicate both in person and in writing

Ability to coordinate and schedule business meetings, travel arrangements and submit expense reports

Ability to provide secretarial support in a wide range of administrative programs: Program meetings, Board of Directors meetings, etc.

Ability to establish and maintain effective, positive work relationships; have creativity, flexibility and resourcefulness; have discriminating judgment, tact and sense of humor
Minimum Qualifications:

High School diploma or equivalent required
-
2+ years executive assistance experience required
High level of personal and interpersonal communications skills
