Ray’s Flooring Specialists, Inc., a local, family owned company since 1972, is accepting applications for a Regular Full-Time Commercial Project Assistant. Assist the Project Manager to create and maintain productive relationships with clients by ensuring each project is managed to finish on time and in budget with a level of craftsmanship that meets the quality standards set by Rays Flooring and exceeds the expectations of our clients while delivering an exceptional customer experience.
Responsibilities include:
- Establish and maintain excellent communication both with clients and your team
- Process all contracts and deliver required documentation for projects
- Maintain job file according to current Ray’s Flooring policies and procedures
- Review projects as needed with appropriate team members
- Utilizing the CMT create an order in RFMS and toggle necessary materials to be ordered
- Create a baseline for each project in RFMS
- Track material ETA’s and project schedule to ensure the project schedule is met
- Utilize eSub for all project management functions
- Ensure client schedule requirements are met
- Review installer payroll as necessary and provide accurate work orders for weekly payroll
- Bill project monthly, in accordance with contractor specifications, and acquire required lien waivers as necessary
- Ensure close-out documentation is provided to the client as needed
- Ensure project is paid and closed out in our system
- Follow all applicable Rays Flooring policies and procedures
Requirements:
· Requires a High School Diploma or General Education Degree (GED).
· Requires at least two (2) years’ experience in an administrative position required. Preferably project coordination in a flooring or related industry.
· Schedule: Monday through Friday, 8 am to 5 pm, with a 1 hour unpaid lunch
· Should be customer-service driven. Position requires demonstrated poise, tact and diplomacy.
· Must have excellent follow-through skills
· Has strong attention to detail and be well organized.
· Must have excellent telephone etiquette and verbal communications.
· Microsoft Windows environment with Office Suite to include formatting and production of documents. Proficient in Microsoft Word, Excel and Outlook Calendar and Email.
