Administrative Assistant Job Description
Job Overview:
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The Administrative Assistant will play a crucial role in supporting the daily operations of the office by handling various administrative tasks efficiently and effectively.
Position Summary:
The Administrative Assistant will work directly under the Business Manager as an assistant to the Headmaster and other members of the Leadership team. The Administrative Assistant will be a professional who supports faculty and strives for excellence. The Administrative Assistant will be entrusted to practically implement the mission of the NOCA community by following general policies provided by the Board of Trustees.
Main responsibilities include, but are not limited to the following: maintaining attendance records, report cards and behavioral tracking; managing inventory; answering phones, welcoming parents/children/guests, coordinating mailings and copying, and maintaining absence intervention documentation.
Responsibilities Include:
- Answers phone calls in a pleasant, informed manner, and accurately routing calls and messages for the purpose of providing information and creating a good image of the school.
- Greets and assists all incoming students, families and guests respectfully and professionally to develop a positive, welcoming and caring climate in the Front Office.
- Manages the Headmaster’s schedule/calendar, emails and correspondence.
- Assists in all aspects of maintaining a professional front office, including but not limited to, general upkeep, filing, copying, and faxing sensitive information.
- Works independently and within a team on special nonrecurring and ongoing projects.
- Receives, processes, and distributes all incoming mail and other material.
- Sorts and stamps out-going correspondence, addresses envelopes and packages, and prepares printed matter and other material for mailing.
- Placing and picking up food orders as needed.
- Enters information or data to computer following established procedures.
- Assists with attendance records in Progressbook, report cards, obtaining documentation, behavioral tracking, truancy and attendance reporting and notifications.
- Manages conference room and meeting room calendars.
- Assist with marketing and promotion of NOCA (including but not limited to newsletters, foundation communication, brochures, etc.).
- Serve as liaison to parents and facilitate parent education and involvement.
- Other Administrative tasks as needed.
Qualifications:
- Passion for the mission of NOCA and public education.
- A Bachelor’s Degree and related experience is desired.
- General knowledge of computers, computer commands, peripherals, and various operating systems.
- Ability to work with a high degree of accuracy.
- Ability to communicate well with school personnel, parents, students and the main office staff while complying with the confidentiality requirements in local, state, and federal policies and status.
- Excellent organization skills and an ability to coordinate multiple tasks and activities.
- Demonstrated ethical behavior and confidentiality of information about students and staff in a school environment and community.
- Must pass necessary background checks.
About Northwest Ohio Classical Academy:
NOCA is Ohio’s first state-chartered, publicly-funded, independently-governed, tuition-free, classical school. It is curriculum school of the Barney Charter School Initiative of Hillsdale College, a network of classical charter schools united by curriculum and purpose. NOCA opened its doors in 2019, with 210 students in grades K-8, and has seen strong and steady growth. It now serves grades K-12 to nearly 600 students. Pay: $17.00 - $19.50 per hour
