In Summary:
In this role, you will be answering phones, scheduling, obtaining authorizations, coordinating transportation, checking in patients, and covering both the wound center and plastic surgery office. There will be some overlap with billing focusing on accounts receivables and collections. Other administrative tasks of the position will include scanning face sheets, entering demographics, verifying insurance eligibility, entering ICD 10 and CPT codes for processing by medical billers.
Job Purpose:
Administrative assistant, is responsible for performing clerical tasks within an office setting to support daily operations. Their duties include answering and transferring phone calls to employees, sorting, and delivering mail to employees and greeting visitors when they arrive for meetings with management or sales staff. To, primarily, schedule patients for procedures. Responsible for acting as liaison between the physicians’ offices and the Center, patients and the Center. Also assists the front office area with whatever areas may need assistance. Including monitoring the waiting area, keeping it orderly, handling incoming phone calls, registering patients
Job Tasks and Functions:

- Participates in staff meetings and is current on policy and procedure changes.
- Welcomes patients, family, salespeople, and other visitors to the center and directs them to the proper person or location in the facility.
- Receives all incoming calls and provides appropriate responses or directs calls to the proper individual. Takes messages accurately.
- Registers patients for procedures in a timely manner.
- Verifies patient eligibility in a timely matter.
- Obtains and tracks authorizations in a timely manner
- Verifies patient insurance information and enters the information accurately into the system. Photocopies all information.
- Collects co-pay and deductibles from patient, when necessary
- Maintains the confidentiality of the patient’s medical record and center correspondence.
- Ensures the confidentiality, security, and physical safety of the records.
- Maintains patient charts
- Maintains wound folders and sheets
- Assists in scheduling procedures as directed.
- Calls patients a day prior to remind about appointment.
- Ensure scheduling and packets are provided
- Responsible for the maintenance of the organized medical record format.
- Responsible for the timely retrieval of individual medical records upon request.
- Responsible for the identification of each patient's medical record.
- Responsible for the supervision of the collection, processing, maintenance, storage, retrieval, and distribution of the medical records.
- Assists with the centers’ Medical Record function by assembling and tearing down charts. Places forms in the proper established order.
- Performs other duties as requested, willingly.
JOB REQUIREMENTS:
· Education: High school diploma.
· Work experience: Medical office or surgical experience
· License or registration requirements: None
· Skills: Strong organizational and communicative skills, good command of the English language both verbal and written (bilingual skills a plus) ability to work well with physicians, employees, patients, and others; and friendly, outgoing personality
· Physical requirements: ability to stand, reach or assist to transfer up to 50 pounds; visual and hearing acuity to perform job related functions
