Overview: We are seeking a proactive and organized Operations Coordinator to join our team. As the Operations Coordinator, you will play a pivotal role in managing the day-to-day operations of our office. You will be responsible for handling various administrative tasks, ensuring smooth communication both internally and externally, and supporting our operational efficiency.
Responsibilities:
- Lead Management and Appointment Booking:
- Engage with leads via calls, follow-ups, emails, and texts to generate prospects for the company. Achieve bonus incentives based on the number of leads successfully booked.
- Follow up on leads provided, ensuring timely communication and accurate documentation.
- Schedule appointments and maintain calendars for team members.
- Coordinate meetings and appointments efficiently.
- Communication Handling:
- Answer and direct incoming phone calls in a professional and courteous manner.
- Respond to emails promptly and professionally.
- Coordinate communication between different departments and external stakeholders.
- Permit and Material Procurement:
- Pull necessary permits for projects as required.
- Order materials and supplies as needed for ongoing projects and office operations.
- Track deliveries and ensure timely receipt of materials.
- Customer Service:
- Provide excellent customer service to clients, vendors, and visitors.
- Address inquiries and resolve issues promptly and effectively.
- Maintain a customer-focused approach at all times.
Qualifications:
- Proven experience in an administrative or operations support role.
- Excellent organizational and multitasking abilities.
- Strong communication skills, both verbal and written.
- Proficiency in MS Office (Word, Excel, Outlook) and familiarity with office equipment.
- Ability to work effectively under pressure and meet deadlines.
- Attention to detail and problem-solving skills.
Preferred Skills ( NOT MANDATORY)
- Experience in a construction or project management environment is a plus.
- Knowledge of permit procedures and procurement processes.
- Previous experience with CRM systems or scheduling software.
