JOB TITLE: Administrative Assistant
DESCRIPTION: A talented, motivated administrative assistant to provide clerical and data entry support to our team. Reports to the CEO, responsible for ensuring that the record keeping documentation and other administrative task are completed. The Administrative assistant will be responsible for the following task
TASKS:
1. Cover the front desk (hand out applications, answer the telephone, etc)
2. Creation and mailing of New Hire Packets
3. Daily retrieval of mail, review and distribute to appropriate personnel, including faxes.
4. Obtain and get copies of all necessary forms (Driver’s License, certificates, social security cards, etc from new employees.
5. Learn all the regulations of what is required of all personnel and make sure that it is in their records.
6. Communicates all oral and written information accurately and promptly to management. (This pertains to all messages left on the phone answering system also).
7. Responsible for helping to maintain the office in a professional manner (Keeping office in order).
8. Responsible for representing Bright Futures of Virginia, LLC. In a courteous and professional manner in all circumstances. (This includes language, dress, responses to other staff that affect the moral of the agency, etc).
9. At the beginning of each month prepare memos of all trainings needed by staff and give to management so that they can be scheduled.
10. Chart Audits
11. Assist with billing
12. Complete OIG checks monthly for each employee
10. Responsible for all other duties as assigned consistent with job description.
REQUIREMENTS:
Work Requirements:
- Must have a valid Va. Driver’s License and a good driving record
- Must be able and willing to work a flexible schedule
- Must possess the knowledge, skills and abilities to fulfill the job requirements
- Must be able to prioritize and balance multiple deadlines and tasks
- Must be organized, detail oriented, adaptable, professional, courteous and motivated
- Work well on your own as well as part of a team.
- Must possess good computer skills
- Must be able to complete data entry and have good record recording skills
- Must have excellent communication skills (both written and verbal)
- Must be able to work with sensitive and confidential information
- Must be willing to learn new skills and accomplish new tasks
- Must be 18 years old or older
Job Types: Full-time, Part-time
Pay: $17.00 - $20.00 per hour
Expected hours: 35 – 40 per week
Schedule:
- 8 hour shift
- Monday to Friday
