Provides general secretarial and administrative support for the Social Work department.

Minimum Qualifications

High school degree and post high school office management training and/or secretarial skills.

Solid computer knowledge and other secretarial skills.

Good active listening and customer service techniques.

Ability to communicate tactfully and establish good rapport with parents, child care providers, and CCRI staff.

Working knowledge of human services.

Working knowledge of subsidy policies that relate to qualifications to receive child care subsidy.

Ability to work well under stress and pressure of deadlines.

Ability to adapt to administrative and policy changes.

Good oral and written communication skills

Knowledge of child development, state and local eligibility regulations for funding and child care services.

Supervisory Responsibilities
This position has no supervisory responsibilities.
Essential Functions
-
Maintains the CCRI waiting list for Child Care financial aid including screening for eligibility, data entry, mailings and communication with customers concerning waiting list issues.

Data entry for Co-Directors of Child Care Financial Aid and Child Care Financial Aid Supervisors as needed.

Conducts customer service surveys and compiles data for reporting.

Provides relief for receptionist on a rotating basis.

Processes agency mail on a rotating basis and manages Child Care Financial Aid Department’s mail on a daily basis, understanding time sensitive materials.

Maintains and files closed client files and purges as needed including packing to send off-site and documentation of files sent.

Orders, maintains and stocks all Child Care Financial Aid supplies needed for daily operations.

Uses own transportation to make periodic contacts and visits to centers, family child care homes and unregulated providers and assigned meetings outside of the office.

Assists in monitoring incoming calls to the CCFA Work Queue.

Maintains all Child Care Financial Aid copiers and printers between servicing.

Performs other duties as needed to further the agency’s mission and goals.

WORK ENVIRONMENT The work environment is that of a general office environment characterized by well-lighted workspaces and offices, a moderate noise level and all-season climate control.
