Position Summary
Baacke Insurance & Financial Services is searching for an Administrative Assistant to join our growing team! This position requires high-level discretionary decision-making as well as the ability to manage multiple tasks. It involves constant multi-tasking and weighing of situations with full understanding of the impact of decisions. The Administrative Assistant will need to have a strong set of communication skills along with excellent people skills, including client interaction and internal team members. Candidates must have excellent time management and be highly organized, flexible, and professional. The ideal candidate for this job is resourceful, friendly, professional, and highly organized.
Duties and Responsibilities include, but not limited to:
- Answer all incoming telephone calls with professionalism and care.
- Welcome/greet all visitors.
- Schedule client appointments and telephone reviews on behalf of advisors.
- Office project management, as needed – completing paperwork, preparing applications, etc.
- Update information in the CRM (Customer Relationship Management).
- Maintain facility, this includes preparing refreshments for clients, conference room organization and generally organize the office.
- Compile materials in preparation for client meetings.

- Excellent customer service skills and the desire to build client relationships.
- Ability to prioritize assignments, adapt to changes in daily tasks when necessary and the ability to work under pressure.
- Good oral/written communication, organizational and problem-solving ability.
- Excellent time management skills, ability to juggle multiple, competing priorities, with strength in identifying and implementing solutions when applicable.
- Excellent planning and written/ verbal communication skills.
- Strong organizational and administrative skills with the ability to anticipate, improvise, multi-task and adapt for optimal resolutions.
Preferred Qualifications
- High School diploma or equivalent
- Highly developed PC skills, including demonstrated proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
- Experience working with Smart Office, a plus.
