Our law office is seeking a friendly and organized Receptionist to manage our front desk. In this role, you will answer and redirect phone calls, when necessary, greet clients and other visitors at the office when they arrive, schedule client appointments, and take accurate messages for attorneys and other staff, among other reception duties. On a daily basis, you will also sort and distribute mail, organize client files, and assist lawyers with other administrative duties. Legal experience is a plus but not required.
Duties and Responsibilities
- Answer phone calls and emails with proper etiquette
- Keep a log of all communications
- Greet clients and visitors in a friendly manner and determine the reason for their visit
- Contact clients to schedule appointments
- Sort and distribute mail
- Organize files
- Manage email correspondence and direct messages to appropriate staff
- Utilize computer systems for tasks such as scheduling, billing, and case management
- Among other tasks
Requirements and Qualifications
- Must be fluent in Spanish
- Proven experience in a receptionist or customer service role
- Proficiency using phone systems and office equipment
- Strong organizational skills with attention to detail
- Knowledge of clerical and administrative procedures
- Familiarity with software applications like Outlook, Microsoft, Excel
- Ability to handle multiple tasks simultaneously while maintaining a professional demeanor
- A high school diploma or equivalent
- 1+ years of administrative support experience
- Excellent communication and organizational skills
- Proficiency in Microsoft Office
- Legal experience is a plus
