We are seeking new talent to join our Supply Chain & Procurement department. As an Administrative Assistant, you will play a significant supporting role, working in collaboration with the Supply Chain Coordinator as the department seeks to identify, prospect, and qualify new vendors.
Job Responsibilities:
- Support the department’s head with daily operations.
- Support cross-team initiatives involving Supply Chain, Finance & Operations.
- Exhibit advanced organizational skills.
- Utilize standard cloud office platforms and dashboards efficiently.
- Manage client and contract information using platforms such as Slack, KMM, HubSpot, and Google Workspace.
- Perform accurate data entry and manage filing systems effectively.
- Maintain detailed and precise record keeping.
- Communicate effectively, both verbally and in written form with supervisor, team members, and clients.
- Manage time efficiently and handle multiple tasks simultaneously.
- Demonstrate interpersonal skills with professional behavior and courtesy.
- Work well under pressure and meet multiple deadlines.
- Take a proactive approach to problem-solving and process improvement.
- Work independently and collaborate effectively with others.
Experience Required:
- 3-5 years in Administrative Assistant position.
- Established professional & corporate experience.
- Experience with purchasing, order entering, and customer service.
- Proficiency in using cloud office platforms such as Microsoft Office (especially EXCEL) and Google Workspace.
- Strong data entry skills with experience in managing and maintaining filing systems and detailed record keeping.
- Excellent communication, organizational, and multitasking skills.
- Effective time management to meet multiple deadlines.
- Proven ability to work both independently and collaboratively, with a proactive approach to problem-solving and process improvement.
- Event planning and coordination.
Skills Required:
- Fluency in English (speaking, reading, and writing)
- Fluency in Brazilian Portuguese (speaking, reading, and writing)
Experience Preferred:
- Conversational in Spanish
- Experience in the transportation industry
- Supply management and inventory control experience
- Experience with QuickBooks or NetSuite
