Job Summary
The Front Desk Coordinator will greet and direct visitors, answer telephones and perform general clerical and customer service work
Essential Duties
- Greet vendors, customers and fellow co-workers
- Answer phones, take and forward messages
- Answer general questions about services and employment
- Manage all stamping, scanning, uploading and distribution of mail
- Receive and sign for packages, inform the appropriate person of the arrival
- Handle all Fed Ex shipments - incoming and outgoing
- Maintain company fax inbox and distribute to appropriate Personnel/Department
- Maintenance and restocking of supplies and tidiness of Coffee Bars & Lunchrooms
- Maintenance of Coffee machines
- Maintenance and tidiness of assigned conference rooms
- Maintain organization of supply/mail room
- Maintain inventory of all office, kitchen and cleaning supplies
- Assist in creating requisitions and/or purchase orders
- Assist in drafting and proofreading of letters as needed
- Assist in research for various projects
- Assist in completing reports for Sr. Management
- Assure discreet handling of all business
- Manage all birthday cake celebrations
- Coordinate with Penn Records to schedule shred pick up
- Coordinate and maintain records of archived files with Penn Records
- Tracking Service and Rental Receipt inventory
- Manage updates of Employee phone list
- Assist Engineering Department in other tasks as deemed necessary
Required Skills & Knowledge:
- Clear and effective communication in person and over the phone
- Principles for providing excellent customer service both in person and on the phone
- Proficiency in English language (verbal and written)
- Service oriented with positive and upbeat attitude
- Basic computer skills
- Familiarity with standard office equipment such as phones, copy machines, scanners, fax machines, etc.

Physical Requirements
- Requires sitting for prolonged periods of time
- Requires lifting up 20lb
- Requires using hands to handle, control or lift objects
- Requires repetitive movement
Education and Experience:
- High School Diploma (or equivalent) and 1 year of related experience
- Preferred candidate must have:
- 70% or better on pre-employment testing
