Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The successful candidate will provide administrative support, ensuring efficient operation of the office. This role involves a variety of tasks related to organization and communication, and it requires a proactive individual who can handle multiple responsibilities with a positive attitude.
Key Responsibilities
Office Management: Maintain office supplies inventory, anticipate needed supplies, place and expedite orders, verify receipt of supplies, and ensure the office is organized and well-maintained.
Communication: Handle incoming calls, emails, and other correspondence; draft, edit, and proofread documents; and manage calendars and appointments.
Scheduling: Coordinate meetings, prepare agendas, and take minutes during meetings. Arrange travel and accommodations as needed.
Support: Provide general administrative support to the team, including photocopying, scanning, faxing, and mailing documents.
Customer Service: Greet and assist visitors, provide information, and direct them to appropriate personnel.
Event Coordination: Assist in planning and organizing company events, conferences, and meetings.
Financial Administration: Process invoices, assist with budget tracking, and manage petty cash.
Other Duties: Perform other administrative duties as required to support the organization's objectives.
Qualifications
High school diploma or equivalent required; associate's or bachelor's degree in business administration or related field preferred.
Proficiency in MS Office (MS Excel, MS Word, and MS Outlook, in particular).
Excellent time management skills and the ability to prioritize work.
Attention to detail and problem-solving skills.
Strong organizational skills with the ability to multitask.
Excellent written and verbal communication skills.
