Billing Coordinator Job Description
The Vietnamese Association of Illinois (VAI) is a state-wide organization serving thousands of diverse ethnic refugee and immigrant communities in Chicagoland and DuPage County. Our mission is to foster unity and solidarity among Vietnamese people in Illinois. For almost 50 years, VAI has assisted in the resettlement of families, to apply for citizenship, build community, and increase civic engagement.
The Billing Coordinator is responsible for supporting the operations of VAI's billing functions of all contracts and grants and ensuring the timely and accuracy of VAI’s accounting and operations. The Billing Coordinator will work closely with the Billing Manager.
RESPONSIBILITIES:
- Provide support in billing functions, including maintain compliance for various contracts with the state agencies and private insurers;
- Assist in resolving issues with reimbursements, accounts receivables, accounts payables among various funders;
- Review policies and procedures that ensure timely, accurate invoicing;
- Handle receivable accounts, assessing the validity of bills, and providing corrective measures when needed;
- Review and maintain accurate reporting of staffing hours for Homecare Program and support payroll processing;
- Manage PTO tracking and payroll deductions, including taxes, benefits, and garnishments;
- Prepare reports associated with payroll, including 941 tax returns, wage reports, and W2;
- Provide reports to Billing Manager on accounting of hours billed for more than 200+ Homecare Aides;
- Collaborate with senior staff and directors to contribute to crafting program budgets and track key performance indicators;
- Support in overseeing program costs, including resource planning, to ensure programs and services are within budget;
- Strategize and maintain initiatives that adhere to organizational objectives;
- Participate in program-related site visits and helping to steward relationships with key stakeholders of Illinois Department of Aging and Managed Care Organizations;
- Record information in Quickbooks to reflect the accounts receivables and payables;
- Contribute strategically to regular department and all-staff meetings;
- Meets deadlines in a responsive work environment;
- Additional responsibilities may be needed and will be discussed and assigned.
Qualifications & Experience:
- Minimum of 2 years of experience in finance and billing experiences in nonprofit or community-based organizations;
- Excellent writing and communication skills with strong problem-solving skills;
- Excellent analytical, organizational, and project management skills;
- Excellent conflict-resolution skills with ability to mediate and reach mutual understanding in a community setting;
- Excellent organizational and leadership abilities;
- Outstanding communication and people skills with diverse groups of people;
- Ability to prioritize and manage multiple tasks with accuracy, attention to detail, and confidentiality;
- Strong skills with Microsoft Office and Office 365 Suite and finance management software, such as Quickbooks, and finance system inventory;
- Bachelor’s degree preferred.
Work Requirements:
This is a full-time position based at VAI’s office in the Uptown neighborhood, one of Chicago’s most diverse neighborhoods along the lakefront on the northside. VAI operates on a 4-day work week with an expected minimum of 32-hours of work a week. VAI staff must work at least two days in-office at our Chicago location. Occasional evening and weekend hours may be required.
Job Type: Full-time salaried position with benefits package. Salary range: $55,000 – $60,000.
