OVERVIEW
We are seeking a versatile and proactive individual to fulfill the role of Executive Assistant & Special Projects Coordinator. GENERAL RESPONSIBILITIES
Executive Assistance for Founder
- Provide extensive administrative support, encompassing calendar management, meeting coordination, and handling correspondence.
- Assist in the preparation of presentations, reports, and materials for meetings.
- Aid in documenting ideas and plans for business growth initiatives.
- Establish and maintain a comprehensive "tracker" of company and external special occasions, such as birthdays and anniversaries, for employees, their families, friends, and business network contacts.
- Manage RSVPs and arrange appropriate gifts as needed.
- Coordinate travel arrangements and logistics for the Founder, managing both business trips and personal vacations.
- Organize the Founder's files and legal documents, ensuring they are well-organized and easily accessible.
- Serve as a gatekeeper for the Founder, managing communication channels and prioritizing inquiries and requests.
Project Management
- Assist with developing project plans, including deliverables timeline mapping, and supporting with ensuring alignment with organizational goals, initiatives, and objectives.
- Support with facilitating cross-functional collaboration and communication, serving as a liaison between project stakeholders and Founders.
- Compile project updates across various departments and provide updates to Founder.
- Collaborate with department heads to identify opportunities for process improvement and innovation.
Operations & Organizational Support
- Collaborate with HR to design, implement, and facilitate organizational initiatives to enhance leadership development, employee engagement, team building, and other relevant topics.
- In collaboration with HR, assist with implementing operational changes when needed.
- Support change management efforts by fostering a culture of adaptability and continuous improvement.
QUALIFICATIONS
- Bachelor's degree in business administration, organizational development, or a related field.
- Proven experience in executive assistance, project management, operations management, and organizational development.
- Proficiency in project management tools and office productivity suites (e.g., Microsoft Office)
- Knowledge of organizational development principles, theories, and best practices.

COMPENSATION
- Salary: 80K to 90K USD per year
