We are seeking a full-time, experienced Associate Residential Manager to join our team at Pinewoods Apartments in New Haven, MI.
GENERAL SUMMARY
Under limited supervision, the Associate Residential Manager is responsible (on a daily basis) for assisting the Residential Manager in all aspects of managing and maintaining the Community, insuring adherence to all Fair Housing, EEO laws and regulations, and company policies and procedures, and will assume managerial responsibility in the Residential Manager's absence.
ESSENTIAL JOB FUNCTIONS
- Assists the Residential Manager in all aspects of managing and maintaining the Community, insuring adherence to all Fair Housing, EEO laws and regulations, and company policies and procedures
- Assumes managerial responsibility in the Residential Manager's absence
- Assists the Residential Manager with input of financial information and data for records, including rent, invoice systems and other related purposes
- Maintains and updates all resident files
- Assists residents with service requests and related concerns
- Assists the Residential Manager with building and apartment inspections to maintain the standards and conditions of the Community
- Maintains an inventory of office supplies, forms and reports, and reports shortages to the Residential Manager
- Performs general clerical duties, including answering phones, typing, data entry, computer applications, filing, copying, mail distribution and scheduling(as required)
- Assists in developing and overseeing resident activities, programs and services in order to establish and maintain the highest level of resident satisfaction and retention
- Assist in developing goals for achieving highest possible occupancy and retention levels inorder to maximize income, through creative marketing and outreach efforts
- Must be trained and comply with company, Federal, State and Local regulations, including EEO and Fair Housing, regarding multi-unit housing and to prepare all required forms in an accurate and timely manner
- Assists Residential Manager with budget preparation by providing necessary information and daily monitoring of these budgets and monthly financial reports
- Acts as a representative of company with staff, suppliers, contractors, residents, clients, and the community to ensure achievement of long and short term goals
- Able to accurately and correctly calculate rents, pro rate leases, qualify potential residents, perform cash postings and accounts receivable information
- Performs other duties effectively, as assigned or appropriate, to improve productivity, company/owner profit and/or owner and resident services
- Represents the apartment community and company in a highly professional manner to current residents, prospective residents, and the greater community.
- Obtain appointments with prospective residents who inquire about apartments on the telephone.
- Present the apartment community and apartments to prospective residents, with and without appointments, to secure a commitment to lease.
- Responsible for ensuring the daily appearance of market ready apartments. Notify the Residential Manager and Maintenance Supervisor of any visual deficiencies in the apartment and common areas.
- Record client information, appointment dates and time on Welcome Cards. Maintain Welcome Card files.
- Maintain follow-up communication with prospective residents. Completes Thank You notes on a daily basis to all visiting prospective residents. Place follow-up telephone calls for the purpose of securing a future appointment to lease. Maintain communication, via the telephone, with all prospective residents until they either return to lease, or until the prospective resident secures an apartment elsewhere.
- Must have complete, current product knowledge of their apartment community and primary competitor communities, including rental rates, apartment style breakdown, apartment size, community amenities, location, resident selection criteria, management services and management/ownership, competitive deposit and lease term information.
SUPPLEMENTAL JOB FUNCTIONS
- Participates in the development of creative programs to increase occupancy, as well as resident, owner and employee satisfaction
- Plans and problem solves with the Residential Manager, leasing staff, maintenance staff as necessary using agreed upon methods in an effective fashion
- Participates in creating and following personal development plans for self ensuring maximum personal growth
- Gather and maintain pertinent marketing information such as: 1) Monthly competitive market surveys 2) Daily Traffic analysis 3) Statistics for completion of the Weekly Marketing Report 4) Quarterly Marketing Plan
- Generate marketing ideas and develop creative outreach strategies to achieve maximum occupancy.
- Support the site management team by assisting with responding to resident service requests. Participate in the preparation of the monthly resident newsletter. Assist the Residential Manager in processing applications and completing move-in packages for new residents. Maintain a professional office environment.
- Other related duties as assigned
MINIMUM JOB QUALIFICATIONS
- Must possess High School diploma or equivalent
- Must be computer literate
- Must be competent with computer systems, and possess the ability to become proficient at Powersite(or other Accounts Receivable systems) computer methods within three (3) to six (6) months of training
- Must obtain Michigan Real Estate licensing within 18 (eighteen) months from date of hire
- Must possess excellent communication skills, both verbal and written
- Must be well organized and detail oriented
- Must possess the ability to handle multiple tasks simultaneously
- Must be knowledgeable of all applicable federal, state and local laws pertaining to Fair Housing and EEO within three (3) to six (6) months
- Must be professional in appearance
- Must possess the ability to work with a wide variety of residents
PREFERRED JOB QUALIFICATIONS
- One (1) year plus experience in property management
- One (1) year plus marketing and/or sales experience
- Possess Government-Assisted Housing experience (both HUD and MSHDA)
- Successfully trained on Accounts Receivable computer methods
- One (1) year plus previous supervisory experience
- Possess general accounting skills and office experience
